Job Summary
KML ACCOUNTING AND TAX SERVICE LLC PROVIDES ACCOUNTING, BOOKKEEPING AND TAX SERVICES TO SMALL AND MID-SIZED CUSTOMERS.
We are seeking a highly organized and detail-oriented Office Manager to oversee our office operations and ensure the smooth functioning of our administrative processes. The ideal candidate will have a strong background in financial management, including experience with financial software and general ledger accounting. This role requires excellent communication skills, the ability to manage multiple tasks, and a proactive approach to problem-solving. We have to do bookkeeping for business clients and tenants
Responsibilities
PROPERTIES
· ALL TENANTS
a. CAPTURE RENTS COLLECTED AND UPDATE THE PROPERTY MANAGEMENT SYSTEM
b. ON-BOARD AND OFF-BOARD TENANTS
c. UPDATE VENDOR EXPENDITURES BY TENANT
d. PROVIDE MONTHLY REPORTING TO PROPERTY OWNER
e. PAY PROPERTY BILLS IE INSURANCE, TAX AND MORTGAGE AS NEEDED
f. PAY CONTRACTORS AS NEEDED
BUSINESS CLIENTS
· ALL BOOKKEEPING CLIENTS
a. OVERSEE OUTSOURCED BOOKEEPER
1. CLASSIFY TRANSACTIONS WEEKLY
2. RECONCILE BANK, CREDIT CARD AND LOAN ACCOUNTS MONTHLY
3. PREPARE JOURNAL ENTRIES
4. RESEARCH TRANSACTIONS
b. FACILITATE PAYROLL PROCESSING
c. PROVIDE BANK/CREDIT CARD STATEMENTS AS NEEDED
d. PAY COMPANY BILLS AS NEEDED
e. INVOICE CLIENTS AS NEEDED AND COLLECT PAYMENT
f. PREPARE, FILE AND PAY SALES TAX AS NEEDED
g. PROVIDE MONTHLY PROFIT AND LOSS AND ANY OTHER REPORTS AS NEEDED
h. PROVIDE WEEKLY STATUS UPDATES AND ACTION LIST TO KEVIN AND MONTHLY UPDATES TO CLIENT
i. SPECIAL PROJECTS AS NEEDED
SKILLS AND EDUCATION:
· HIGH SCHOOL DIPLOMA REQUIRED
· QUICKBOOKS ONLINE PREFERRED BUT WILLING TO TRAIN THE RIGHT PERSON
· QUICKBOOKS LEVEL 1 CERTIFICATION WITHIN 3 MONTHS OF STARTING. OBTAIN ADVANCED QUICKBOOKS CERTIFICATION WITHIN A YEAR
· ABILITY TO MANAGE UP TO 30 BOOKKEEPING CLIENTS.
· ABILITY TO WORK INDEPENDENTLY
· CUSTOMER FOCUSED
· ABILITY TO PRIORITIZE AND MANAGE TIME TO MEET DEADLINES
· Excellent organizational skills with the ability to prioritize tasks effectively.
· Strong analytical skills with attention to detail for accurate account analysis and reconciliation.
· Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software applications.
· Exceptional communication skills, both written and verbal, with the ability to interact professionally with staff at all levels.
