Job Summary:
We are seeking a highly organized and detail-oriented Administrative Manager to join our team. The ideal candidate will be responsible for managing daily administrative operations, including payroll, accounts payable/receivable, vehicle fleet oversight, tracking sales numbers, coordinating permits and inspections, and general office management. This role also includes answering customer calls and booking appointments for service technicians. Bookkeeping skills and experience with QuickBooks are highly preferred.
Key Responsibilities:
- Payroll Administration: Process and manage bi-weekly/monthly payroll for all employees, ensuring accuracy and compliance with regulations.
- Accounts Payable & Receivable: Oversee accounts payable and receivable processes, including invoice entry, account reconciliation, and follow-up on outstanding receivables.
- Fleet Management: Manage the company vehicle fleet, including maintenance scheduling, registrations, and insurance compliance.
- Sales Tracking: Track sales numbers and prepare regular performance reports for management review.
- Permits & Inspections: Coordinate and set up permits and inspections for all job sites, ensuring timely approvals and regulatory compliance.
- Customer Service: Assist in answering customer calls, providing information about services, and booking appointments for service technicians.
- Bookkeeping: Assist with general bookkeeping duties as needed.
- General Administration: Maintain organized office systems, manage records and files, and support day-to-day office operations.
- Technology: Utilize computer systems and software (including Microsoft Office and QuickBooks) to complete tasks efficiently.
- Other Duties: Perform other administrative and management tasks as assigned by leadership.
Qualifications:
- High school diploma or equivalent (Associate’s or Bachelor’s degree preferred)
- 3 years of relevant administrative management experience
- Experience with payroll, accounts payable/receivable, and bookkeeping
- Proficiency with computers, Microsoft Office Suite, and QuickBooks (strongly preferred)
- Excellent customer service skills and pleasant phone demeanor
- Strong organizational, analytical, and time-management skills
- Excellent written and verbal communication skills
- Ability to handle confidential and sensitive information
- Strong problem-solving and multitasking abilities
