SUMMARY
The Facilities Coordinator reports directly to and supports the Facility Manager through work order processing, vendor management, employee coaching and customer service. The focus of the Coordinator position should on building positive customer and vendor relationships to thoroughly support existing customers and identify/grow new business opportunities all while overseeing multiple receptionist services. Tasks may involve project management, strategic planning, sales support, service application, management, work order tracking, vendor sourcing and logistics.
PRIMARY RESPONSIBILITIES
Supports day to day operations as directed by client and Facility Manager.
Collaborates with Facilities Manager(s) on solutions and processes to ensure consistent service.
Operates as a main point of contact for work orders, requests, special projects, sourcing vendors, contract negotiations and customer service support.
Service multiple client locations concurrently, often meeting deadlines.
Process work orders within customer CMMS system and follow requests through until completion.
Research potential vendors
Maintaining a database of different suppliers and vendors and the materials delivered by them.
Tracking diverse spend as outlined by customer specific Key Performance Indicators.
Daily walkthrough over customer locations and reporting/ repairing any inconsistencies found.
Includes hands on light maintenance (i.e. hanging white boards, moving furniture, etc.)
Manage and maintain preventive maintenance program.
Meeting with vendors and clients to negotiate the best contracts and overseeing vendors projects until completion while working withing the guidelines provided by EHS.
Keep records of client transactions
On Call and Accessible 24/7 to deal with issues that may occur outside of regular work hours.
Makes sure clients receive requested products and services in a timely fashion.
Manage projects within client relationships, working to carry out client goals while meeting company goals.
Support initiatives to grow business with existing clients.
Oversee the direction of two facility receptionists and one janitor that includes but not limited to; payroll/ timecard approval, human resources related items, absenteeism coverage, training, access control, disciplinary actions and more.
