DEPUTY CLERK - COLLECTIONS SPECIALIST
Purpose of Job
The purpose of this classification is to collect outstanding court costs for the Clerk of Courts using phone, email, mail, and in-person communication.
Essential Functions
The Collections Specialist is responsible for the following essential functions:
- Interacts with customers of the criminal court clerk through various methods, such as phone, email, and in-person, providing exceptional service in every interaction.
- Proactively communicate with defendants to collect outstanding costs.
- Assist defendants with cost agreements.
- Negotiate payments and communicate payment expectations.
- Partner with supervisor and Finance Director to analyze the workflow of collection efforts for efficiency gains.
- Keep appraised of TN State laws and regulations pertaining to court costs and collections.
- Provide reports of communication and efforts made to collect outstanding costs.
- Review customer accounts and provide timely updates.
- Document customer feedback and provide reports on trends.
- Collaborate with call center and front desk staff to improve collection efforts and increase contact rates.
Accurately enter payment and case information to ensure there are no delays in application to the court record.
Additional Job Functions
- Respond to and report immediately if called upon by local, regional or central office supervisors, as part of a coordinated emergency response by the Knox County Criminal Court Clerk.
- Ensure regular, punctual attendance during scheduled work hours
Perform other duties as required
Minimum Training & Qualifications
- High School diploma or GED
- Minimum of three (3) years’ related experience in customer service, collections or related field
Any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities may be considered for employment into the position
Specialized Knowledge
Working knowledge of the court system preferred.

- Proficient in use of PCs, tablets, smartphones and other electronic devices
- Ability to learn new software
- Proficient in Microsoft Office suite of products, with a focus on Excel

Physical Requirements
This position requires the ability to engage in occasional, light physical activity. Prolonged periods of sitting or standing behind a desk working on a computer.
