Knoxville Academy of Music is seeking a dedicated and organized Part-Time Administrative Assistant to join our team. This role is crucial in ensuring the smooth operation of our administrative tasks and providing exceptional service to our students, parents, and staff. If you are detail-oriented, have excellent communication skills, and are passionate about supporting a creative environment, we would love to hear from you!

Key Responsibilities:

1. Answering Phones:

  • Promptly and professionally answer incoming calls.
  • Address inquiries, provide information, and direct calls to appropriate personnel.
  • Take accurate messages and ensure timely delivery to the intended recipients.

2. Billing:

  • Assist with managing payment processing through our merchant service provider.
  • Maintain accurate records of transactions and payments.
  • Respond to billing inquiries with clarity and professionalism.

3. Sales:

  • Support sales efforts by providing information about our programs and services to prospective students and parents.
  • Assist in enrollment processes and maintain accurate records of new enrollments.
  • Promote additional services and products offered by Knoxville Academy of Music.

4. Learning CRM:

  • Familiarize yourself with our Customer Relationship Management (CRM) system.
  • Enter and update customer information accurately.
  • Utilize the CRM to track interactions, manage appointments, and follow up with prospective and current students.

5. General Administrative Support:

  • Perform clerical duties such as filing and scanning documents.
  • Maintain a clean and organized workspace.
  • Assist in coordinating meetings and events as needed.

6. Communication and Collaboration:

  • Maintain clear and professional communication with staff, students, and parents.
  • Collaborate with team members to ensure a cohesive and supportive work environment.
  • Provide feedback and suggestions to improve administrative processes.

Qualifications:

  • Strong communication skills, both written and verbal.
  • Excellent organizational and multitasking abilities.
  • Basic knowledge of billing processes and CRM systems is a plus.
  • A positive attitude and a willingness to learn and adapt.

Job Type: Part-time

Pay: From $15.00 per hour

Expected hours: 15 – 25 per week
