What are the responsibilities and job description for the Surgery Scheduler – FT position at Knoxville Hospital & Clinics?
The Surgery Scheduler is a Full-Time position working day hours Monday through Friday.
The Surgery Scheduler schedules all surgical procedures and assures that all of the appropriate clinical and insurance information is collected for the surgery schedule. Scheduler receives requests to schedule procedures from provider offices and schedules the procedure according to established guidelines. The surgery scheduler serves as the first point of contact for patients, employees and families.
Essential Functions
- Scheduling of all procedures in the surgery department
- Communicates possible admissions to the med surg floor and resource RN at the beginning of the day
- Communicates surgical procedure cancellations to the surgeon, patient, and specialty clinic for rescheduling in a timely manner
- Primary phone receptionist for the surgery department, routing calls to the appropriate surgical services employee
- Completes and verifies the daily surgical procedure log
- Distributes the CRNA billing sheets to administration assistant for filing
- Creates patient charts for the upcoming surgeries
- Disassembles the previous day patient charts, verifying all required documentation is completed before sending to health information management department for scanning
- Assist patients in filling out forms including signing of consents for procedures
- Coordinates with outlying provider offices to obtain required documents including history and physicals, cardiac clearance, pre procedural testing results, demographics and insurance information
- Maintains confidentiality of patient and hospital related business
- Documents concisely, precisely and accurately on all records
- Participates in Quality Assessment activities as directed for the continuous improvement of patient care
- Schedules all medical procedures, for patients with appropriate provider and time/location slot
- Interacts with appropriate vendor staff to ensure all necessary equipment will be on site hospital-based procedures, including scheduling with contracted anesthesia group.
- Enters notes/special instructions needed for scheduling in the electronic medical record
- Completes accurate documentation of informed consent with patients for procedures and surgeries as needed.
- Provides accurate, detailed information to patients regarding test preparations and any other directional information needed; takes appropriate action in responding to questions from patients.
- Confirms patient’s insurance provider and demographics. Verifies prior authorization at the time of scheduling.
- Ensures patients have proper medical clearance and pre-surgical testing as ordered or by protocol
- Reviews post-procedure care instructions with patients and ensures proper follow-up appointments are scheduled at the time the procedure is scheduled.
- Assists other members of the department as needed.
- Assists with patient care as needed and within the scope of employee’s license
Job Requirements
- LPN, CMA or surgical technician required
- Ambulatory or Surgery department experience preferred
- Excellent communication, customer service and organizational skills required
- Ability to work in a fast-paced environment with minimal supervision
- Strong attention to detail skills
- Experience with electronic medical records required Cerner experience preferred
- Mandatory Reporter for adult and child abuse reporting required by end of orientation period
- Basic Life Support (BLS) required by end of orientation period
- Required to complete all annual competency training and maintain license and/or certification.
