Job Title: Human Resources Specialist
Summary: An employee in this classification receives general supervision from the Human Resources Director. Coordinates assigned HR functions and assists the Human Resources Director and Payroll/HR Manager by providing administrative support for Human Resources Department operations.
Essential Duties and Responsibilities
· Assist with employee recruitment, maintaining job postings, collecting and forwarding applications as appropriate
· Assist in ensuring job openings / listings are updated and stay current
· Assist with performing background checks, reference checks and employment verifications
· Assist Payroll/HR Manager in processing new hires, terminations and position changes
· Serves as an administrator for the UKG HRIS and timekeeping system; acts as a staff resource to aid staff in accessing and utilizing the timekeeping system
· Work with new employees to complete designated processes and paperwork
· Review new employee paperwork for employee files and keep files updated
· In collaboration with HR Director, coordinate Workers Comp filings, including collecting and submitting relevant reports, corresponding with WC Insurance Provider, health care providers, and employees and maintaining necessary WC records
· Track Workers Comp records, preparing annual OSHA report on WC claims
· Track FMLA usage for affected employees
· Serve as back-up to Payroll / HR Manager to prepare payroll reports and prepare / submit benefits information and reports
· Prepare orientation packets for new hires
· Make staff badges for new hires in OOA, HMB, CO, ECS, and NCs and then annually renew staff badges in January
· Provide Newsletter Editor a list of all new hires and position changes and employment anniversaries monthly for CAC Connections
· Keep employee phone list up to date
· Coordinate with providers to arrange for flu shots/ vaccine clinics for staff for designated events
· Keep forms updated in HR reception office available for employees
· Prepare materials and employee packets for designated meetings – retirement meetings, staff training, etc.
· Processes orders and receives supplies for the Human Resources department as necessary
· Performs other duties as requested

· General knowledge of HR practices and file compliance
· Ability to effectively utilize HRIS or similar technology systems
· Ability to communicate effectively, both orally and in writing
· Ability to carry out instructions given in written and oral form
· Ability to obtain facts by personal contact, observation, or examination of recorded data
· Ability to work independently, managing time and duties efficiently
· Knowledge of current word processing and spreadsheet software, with accurate data entry skills
· Ability to set-up spreadsheets to track specific activities and information
· Ability to produce accurate reports and correspondence
· Ability to handle multiple tasks and to work well with diverse people
Qualifications: Bachelor’s Degree in business, human resources, human services or related field and at least two years of Human Resources or related office administration experience. An equivalent combination of education and related work experience may be substituted for the educational requirement. Good technology skills, including competence with Microsoft Office Suite
Salary & Wage Scale: Skill Level 8
