Koch Route 2 Toyota is seeking a Business Development Representative to work in our service department. Service BDC Representatives are critically important to meeting our business goals and objectives, as well as ensuring the customers have a positive experience with our company. Customer Service Representatives listen to customer concerns, answer customer questions and provide information about the company’s products and services.

Work Saturdays on a rotating schedule.

Purpose:

To assist customers in setting up service appointments, collecting payments from customers for services rendered and to give clear and accurate descriptions of products and services available to our customers relating to service

Essential Duties:

Scheduling

  • Answer incoming calls in a polite, professional manner, direct calls appropriately and ensure that Service Advisors receive their messages promptly.
  • Obtain customer and vehicle data to input appointments into the scheduling program; provide customers with available appointment times based on requested services and shop capacity
  • Suggest services based on information gathered from customer, answer questions regarding available products and services, direct calls to appropriate individuals when customer requires further explanation
  • Gather enough information from customer to accurately communicate vehicle concerns to advisor
  • Generate closed R.O., call to confirm and no show reports daily; place outgoing calls to confirm scheduled appointments, reschedule no-shows and set up customer’s next appointment (1154)
  • Prepare pre-work order documents prior to customer’s arrival, attaching warranty information, vehicle history and rewards points
  • Prepare inspection sticker log; account for all inspection and emissions stickers coming into and going out of the dealership, complete log for semi-annual stickers distributed
  • Secure alternate transportation for customers as requested
  • Provide customers with estimated time of completion based on work requested; confirm the details of appointments with customer
  • Maintain service reservations system; update customer files as needed to ensure accuracy
  • Contact customers regarding we owe and parts on order, set up appointments with vendors as necessary
  • Monitor shop capacity and provide information to service consultants

Cashiering

  • Receive cash, checks and credit card payments for repair orders and parts invoices; ensure that all forms of payment are processed according to dealership guidelines and that repair orders and parts tickets are closed properly
  • Make change and issues receipt, obtain customers signature on invoice at time of payment
  • Provide refunds to customers for returned merchandise
  • Receipt all monies received for new and used car deals
  • Reconcile drawer at end of shift by recording all parts invoices and counter tickets and verify against all cash, checks and credit card payments, close credit card machine at end of shift
  • Refers customers who have questions about the work performed, additional maintenance or repairs, etc. to the service advisor or manager
  • Obtain and organize keys for completed vehicles; ensure customers picking up their vehicles are walked out by appointed dealership personnel

Scanning

  • Prepare files for scanning by removing all staples and unnecessary documents
  • Scan repair orders and relating documents into our DMS
  • File all non-scanned repair orders by date
  • Pull scanned or filed repair orders as requested by management
  • Communicate with help desk to troubleshoot issues with scanner as they arise

Marginal Duties:

  • UPS request to the state when inspection and emission stickers are needed for service, follow up to check on delays; load stickers into computer system once received. Run daily and weekly emission reports, monitor insert levels and order as necessary
  • Separate internal R.O.’s and distribute daily; gather P.O.’s and send to accounting
  • Input all appointments into spreadsheet to track monthly bonus
  • Handle customer complaints with integrity and poise and, when necessary, refer dissatisfied customer to appropriate individual for resolution
  • Works with department managers to keep abreast of new products and services offered, their feature and value and any changes in price; complete ongoing training as specified by manager
  • Works as a team to ensure the satisfaction of all customers; get customers paperwork and walk customers to vehicles parked in “A” lot when necessary
  • General housekeeping
  • Any other duties assigned by management

Physical Requirements:

  • Ability to sit for extended periods of time in front of a computer
  • Occasional exposure to loud noises and fumes coming from shop area

Qualifications:

  • High school diploma or the equivalent
  • Ability to read and comprehend instructions and information
  • Excellent oral and written communication skills
  • Professional personal appearance
  • Basic skills with computer and other office equipment (fax, copier, printer, credit card machine, multi-line telephone, adding machine)
  • Ability to stay calm under pressure, handle multiple tasks (phone, register, customers) and tricky situations while maintaining a courteous and friendly attitude.
  • Previous cash handling experience preferred, call center and customer service experience helpful
  • Ability to stay focused in an office with many distractions

Job Type: Full-time

Pay: $17.00 - $18.00 per hour

Expected hours: 40 per week
