Other responsibilities may include: hand deliver forms to residents, update and maintain leasing forms, complete other tracking sheets, and other projects as assigned by the Deputy D1. Complete annual recertifications
a. Pull and send letters with recertification packets to the resident. Run criminal background checks, sex offender checks, and print EIV report.
b. Maintain recert lists.
c. Contact residents during their appointment day and time to review the recertification packet they have submitted.
i. For those who have not submitted the packet, contact them explaining what is expected to be submitted.
ii. Send rescheduled recert letters for those who do not submit their recert packets.
d. For those missing verifications/documents – send a list of those missing documents with a due date.
i. Send a reminder letter once the date has passed for missing documents.
e. Once everything is submitted, process the recertification. This includes:
i. Completing the calculation for the new rent amount
ii. Putting together the folder arrangements (both left and right sides)
iii. Completing the residential lease amendment and sending it to the tenant(s) to sign by hand-delivery.
iv. Updating all information where necessary
v. Submitting the 50058
vi. Printing rent letters, mailing and hand-delivering to the tenants.
f. Send warning/eviction letter for those who fail to recertify/fail to complete the recertification.
2. Complete interims
a. When both a change form and verification of the change is submitted, process the interim. This includes:
i. Printing an EIV report to verify there are no income discrepancies.
ii. Calculating the new rent amount
iii. Putting the folder arrangement together (right side, and on occasion, left side)
iv. Making all changes that have been reported in elite.
v. Submitting the 50058
vi. Printing rent letters, mailing and hand-delivering to the tenants.
b. Complete the annualization ledger folder arrangement if less than $5,000 increase of income already being used.
c. For adults being added to the lease, a new lease is printed, and an email sent to the accounting department, and social service team. However, this process starts with the application processor.
3. Complete recoupments
a. When an income discrepancy is discovered, recalculate what the rent should have been.
i. Collect any verifications from the resident.
b. Have the calculation reviewed and correct it if needed.
c. Send the resident an eviction letter with a breakdown of what is due.
4. Complete lease ups
a. Send the potential tenant an email with the unit address, a breakdown of what the rent has been calculated at, what their security deposit is, etc. Also, if new income is needed, that is addressed in the email.
b. If they refuse the unit, that is communicated to the application processor so the next applicant can be called.
c. After accepting the unit, perform the lease up. This includes:
i. Going over the hand-outs given to the resident.
ii. Signing all the paperwork, including the lease, rent choice form, community service forms, release forms, etc.
iii. Completing the certification in elite, including printing the rent letters and 50058.
iv. Sending notification to the accounting department and the social service team the lease up has been completed, giving them the information on the new tenant.
5. Complete transfers
a. After receiving an approved transfer request, verify the income and calculated the rent for the old unit and the new unit.
i. Verify with accounting if any money is due, fees, etc.
b. Complete the transfer paperwork with the tenant, including lease signing.
c. Complete the certification in elite.
d. Send an email to both the accounting department and the social service team.
6. Miscellaneous Responsibilities
a. Hand-deliver forms to residents
b. Mail and hand-deliver letters to residents.
c. Update and maintain leasing specialist forms.
d. Complete FSS tracking sheet for interim and recerts of those in FSS.
e. Send rescind eviction letters for those who have appealed the eviction I sent successfully (ex - failure to complete recert, recoupment.)
Job Type: Part-time
Pay: $13.50 - $16.00 per hour
