Natives of Kodiak (NOK) is looking for an experienced Executive Secretary to support our chief level staff in Kodiak, AK.
The Executive Secretary to the Vice President (VP) will be responsible for providing comprehensive administrative support to the VP and Board of Directors by managing business related tasks for the VP such as creating reports, reviewing emails, taking minutes, and other organizational tasks. This person will need to be flexible, able to work under tight deadlines, be familiar with the industry, and possess superb multitasking skills. The role requires uncompromising discretion and professionalism. This position will be in the Natives of Kodiak office located in Kodiak, AK.

RESPONSIBILITIES:
- Provide high-level administrative support to the VP and Board of Directors.
- Assist in drafting policies and official documents Manage office operations, including scheduling, filing, database management.
- Organize Board Meetings, prepare agendas, record minutes, and track action items.
- Conducts research and compile data for decision-making purposes.
- Acts as the point of contact between the VP and internal or external colleagues.
- Keeps communication and events between the Board, committees and staff running smoothly.
- Assists in compiling, drafting, editing, and proofreading correspondence, documents, presentations, proposals, and reports, and coordinating materials to ensure the team is prepared for meetings.
- Prepares and edits presentations, reports, memos, invoices, letters, and other documents.
- Format information for internal and external communication–memos, emails, presentations, reports.
- Accurately and efficiently take minutes during meetings as needed.
- Screen and direct phone calls if necessary and distribute correspondence.
- Organizes meetings and books meeting rooms.
- Handles correspondence directed to managers or other departments.
- Manages the VP’s calendars and sets up meetings.
- Makes travel arrangements and produces detailed travel itineraries.
- Produces reports and presentations as requested.
- Prepares and monitors invoices and submits/reconciles expense reports.
- Handles sensitive information in a confidential manner.
- Develops, resolves, and updates administrative systems to make them more efficient.
- Perform other related tasks as assigned.
REQUIRED QUALIFICATIONS:
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office products or related software.
- Technologically savvy and is able to troubleshoot basic device issues.
- Able to work independently.
- Conscientious and highly organized with dependable follow-through and solid problem solving and judgment skills.
- Ability to support and interact with multiple Executive leaders.
- Undisputed level of honesty, integrity, and confidentiality.
