Duties and Responsibilities

- Oversee and ensure efficient day-to-day operations of the office.
- Assist with tracking expenses, managing petty cash, and working closely with the team to maintain financial accuracy for the office.
- Manage office supplies inventory and place orders as necessary.
- Coordinate with vendors and service providers for timely service and maintenance.
- Assist in scheduling meetings and organizing office events.
- Monitor overall branch operation efficiency and identify areas for improvement.
- Implement new office procedures and policies as directed by the Office Manager.
- Coordinate travel arrangements for team members.
- Facilitate communication and collaboration between the regional office and headquarters.
- Prepare for Firm Wide Meetings/lunch coordination.
- On stand by to fill in for Office Assistant/Receptionist.
- Serve as the first point of contact for employee queries and concerns.
- Monitor the office environment and employee morale, reporting issues to the Office Manager and HR.
- Assist in the onboarding process of new hires and coordinate with HR for training sessions.
- Ensure compliance with office policies and procedures.
- Support the HR Manager in executing HR policies and procedures.
- Assist in the coordination of performance review processes and employee development programs and feedback.
- Serve as a primary point of contact for employee inquiries and concerns related to HR policies and procedures.
- Assist with employee benefits administration, leaves of absence, and payroll issues.
- Facilitate conflict resolution and address employee relations issues.
- Organize and participate in employee engagement activities.
- Assist with recruiting duties.
- Maintain open and transparent communication with employees and management.
- Regularly gather feedback from employees on their work environment and experience.
- Proactively identify and communicate potential issues or concerns to the Office Manager or HR Manager.
- Regularly report to the Office Manager on office operations and employee concerns.
- Maintain open lines of communication with all staff for smooth information flow.
- Coordinate with other departments as necessary to support company-wide operations.
- Take on special projects as assigned by the Office Manager or HR Manager
- Must possess strong Spanish communication skills for daily interactions with Spanish-speaking customers

Requirements
- Experience: Minimum of 2 years of experience in business administration, office management (legal office setting preferred)
- Education: Bachelor’s Degree (Business Administration or related) with one-year minimum experience in the legal field or associate degree (Business Administration or related) with two years minimum experience in the legal field or HS Diploma with three years minimum experience in the legal field.
- Immigration Law Experience (Preferred)
- Bilingual: English & Spanish
