Position Overview
The Operations Specialist plays a crucial role in ensuring seamless cargo operations by providing excellent customer service, handling booking requests, and coordinating with warehouses and logistics teams. This role requires strong attention to detail, problem-solving skills, and the ability to manage multiple tasks efficiently.
Key Responsibilities
- Communicate effectively with customers to meet their requirements, resolve issues, and complete booking requests in a timely manner.
- Coordinate with warehouses to ensure all booked cargo is received before cut-off times.
- Report any Over, Short, and Damage (OS&D) issues to customers and follow up on resolutions, whether cargo can be shipped, repacked, or collected.
- Follow up with customers for any missing documentation required for scheduled bookings.
- Complete and process booking requests accurately.
- Arrange pick-ups with trucking companies as necessary.
- Contact shippers and finalize overseas bookings, ensuring proper communication with the origin office or agent regarding the status of cargo.
- Determine if export customs clearance is required and coordinate with customs brokers as needed.
- Notify Load Planning of any special handling requirements.
- Process and apply additional charges incurred during booking.
- Submit hazardous paperwork for approval to the designated Hazardous Team before processing shipments.
Minimum Qualifications & Requirements
- High school diploma or equivalent education required; associate degree preferred.
- Minimum of 2 years of customer service experience, preferably in logistics or freight forwarding.
- Ability to multitask, prioritize, and manage time efficiently.
- Strong verbal and written communication skills in English, with excellent interpersonal and teamwork abilities.
- Proficiency in Microsoft Office Suite, including Excel, Word, and PowerPoint.
