What are the responsibilities and job description for the Service Advisor position at Kraft Tank Corporation?
The Service Advisor is responsible for assisting with scheduling resources for the service, repair, maintenance, and fabrication of company equipment, customer equipment, and customer service of Kraft Tank Corporation's Service Department. This role requires a high level of organization and customer service both to internal and external customers while meeting operational and service standards to maintain a high level of accuracy, safety, and productivity.
Position Responsibilities
- Schedule service appointments accordingly.
- Monitor all open service Repair Order's.
- Manage incoming phone calls and drive-up service request.
- Prepare and complete service quotes according to company SOP.
- Diagnose repairs as requested by customer and communicate with customer on repair status.
- Diagnose repairs discovered on jobs and communicate appropriately.
- Provide accurate service estimates to customers while answering any questions or concerns.
- Obtain a purchase order (or a name) and signature and on all Repair Order’s, prior to work being initiated.
- Call customer immediately to approve all change orders and document according to company protocol.
- Verify customer credit status is in good standing before starting work.
- Coordinate with Parts Department for parts needed on Repair Order’s.
- Recommend upcoming repairs and preventative maintenance needed as a service to customers.
- Promptly enter Repair Order’s to complete invoicing process; close and verify billing is accurate.
- Assist with returning all unused parts to the Parts Department and issue credit.
- Verify customer has paid in full, or is within credit limits, prior to release.
- Maintain repair and testing records and provide documentation to customer accordingly.
- Ensure warranty claims are processed and forwarded to supplier on time while also maintaining proper recordkeeping.
- Schedule preventative maintenance for trailers and advise customers of necessary information.
- Coordinate any necessary Sub-let activity needed for Sales and Leasing Departments.
- Process Check-In/Out documentation for Sales and Leasing Departments.
- Ability to assist with creating standard jobs as needed.
