Position Summary:
The KYHA Administrator is responsible for supporting the administrative and operational functions of KYHA programming. This role ensures seamless program execution through effective management of registrations, scheduling, apparel distribution, and customer service. The KYHA Administrator will act as a key liaison between the association, families, coaches, and volunteers to deliver an exceptional experience that aligns with the Kraken Youth Hockey Association’s commitment to excellence and community engagement.
Essential Duties & Responsibilities:
· Manage registrations, refunds, and transfers through the DaySmart platform.
· Provide timely and professional responses to customer inquiries, offering guidance and solutions as needed.
· Maintain and update program schedules in the DaySmart calendar, ensuring families are promptly informed of any changes.
· Coordinate and schedule referees as needed for games.
· Collect USA Hockey numbers from players, coaches, and volunteers to ensure compliance.
· Notify volunteers of missing credentials and assist with the credentialing process.
· Create and manage team rosters as required.
· Monitor and maintain inventory of program jerseys, socks, and other apparel items.
· Organize and assist with apparel distribution at the start of class series and the Jr Kraken season.
· Serve as the primary point of contact for families, coaches, and volunteers regarding KYHA programming.
· Proactively provide updates and guidance to ensure a positive experience for all participants.
· Maintain good attendance and punctuality.
· Other duties as assigned.
Required Experience & Qualifications:
· Strong administrative and organizational skills, with the ability to manage multiple tasks simultaneously.
· Experience working with scheduling and registration platforms (DaySmart experience preferred).
· Excellent customer service and communication skills, both verbal and written.
· Ability to work collaboratively with a diverse group of stakeholders, including families, volunteers, and staff.
· Knowledge of USA Hockey registration processes and compliance requirements is a plus.
· Detail-oriented and resourceful, with the ability to work independently and solve problems efficiently.
· Strong verbal and written communication skills, with an expert ability to present and communicate new ideas and concepts.
· Extremely organized and detail oriented, resourceful, quick learner and able to handle multiple projects simultaneously.
· A high degree of personal integrity and consistently put the interests of the organization first.
· Must be a fierce communicator and cross-organizational collaborator.
Preferred Experience & Qualifications:
· Familiarity with youth hockey programming or sports administration.
· Experience managing apparel inventory and distribution.
· Proficiency in digital tools and platforms used in scheduling and administration.

· Compensation:
o In accordance with Washington’s Equal Pay and Opportunity Act, the starting pay rate for this position is $20.76. Actual pay will depend on employee’s experience and other job-related factors permitted by law

Working Conditions:
· Minimal Travel (<10% travel): May be required to travel. Trips may require air travel and/or overnight stay away from home for one or more nights.
· Must be able to work a flexible schedule inclusive of weekends, nights and holidays required
· Frequent bending, lifting 15-20 pounds, sitting, exposure to multiple external elements, extensive walking through the building including inclines and stairs.
