Job Summary:
We are seeking a detail-oriented and organized Administrative Assistant - Accounts Receivable Clerk to manage invoices, payments, and collections while maintaining accurate financial records. This role ensures timely payment collection, resolves billing discrepancies, and monitors outstanding receivables to keep our financial processes running smoothly.
Key Responsibilities:
- Assist office personnel in creating accurate customer invoices.
- Record and apply incoming payments to the correct customer accounts.
- Match payments to invoices, identify discrepancies, and make corrections daily.
- Enter deposits into accounting software and scan paperwork daily.
- Follow up with customers on payment discrepancies or overdue payments via phone and email.
- Answer customer billing inquiries, resolve disputes, and provide payment information.
- Monitor outstanding receivables, identify potential account issues, and provide daily aging reports to management.
- Prepare and transmit EDI invoices via online EDI software.
- Assist with general clerical duties such as answering phones, filing, and scanning as needed.
Skills & Qualifications:
- Strong understanding of accounting principles and practices.
- Excellent communication and interpersonal skills for customer interaction.
- Attention to detail and accuracy in data entry.
- Analytical skills to identify trends and potential issues.
- Ability to prioritize tasks and meet deadlines.
Requirements:
- High school diploma or equivalent.
- At least 3 years of clerical experience.
- Basic knowledge of Windows-based programs (Word, Excel).
- Experience with Sage Accounting software is a plus.
