JOB TITLE: Materials Manager
CLASSIFICATION: Exempt
SUMMARY DESCRIPTION
The Materials Manager plays a critical role in overseeing inventory management within the KU MedWest Surgery Center. This position is responsible for ensuring the timely replenishment of supplies, maximizing quality, minimizing costs, and supporting department goals in alignment with system supply chain objectives. The Materials Manager will coordinate and manage all aspects of material flow, including transactions, procurement, planning, scheduling, cost, storage, and shipping/receiving, ensuring accuracy and efficiency. Additionally, the position will report to the Regional Supply Chain and Facilities Manager and the on-site Director of Nursing.
RESPONSIBILITIES
- Oversees supply chain processes and best practices that support inventory, forecasting, purchasing, and material control.
- Assess and review competitor pricing and monitor new product offerings/pricing.
- Ability to produce RFQ, RFP, and verbal requests.
- Responsible for managing returns, recalls, and product conversions.
- Responsible for generating purchase orders, submitting to vendors, confirming pricing, quantity, UOM, and updating pricing as needed.
- Responsible for verification of daily deliveries and accuracy of packing slips and monitoring for damaged goods.
- Documents receipts, errors, shorts, recalls, and damaged goods on invoices or requisitions.
- Responsible for reviewing and processing invoices with purchase orders and packing slips.
- Establishes, maintains, and monitors inventory levels and organization of supplies.
- Responsible for having a working knowledge of supplies/equipment.
- Assist in equipment management/repairs – shipping/receiving/storage.
- Identify, develop, and manage effective relationships with existing and potential vendors. Work closely with vendors to identify cost saving initiatives/process improvement opportunities/educational offerings.
- Responsible for accuracy of inventory counts by implementing and managing, in conjunction with Finance, an inventory control system, capable of identifying discrepancies and taking corrective actions.
- Maintains inventory accuracy within the range of 5% (-/ ).
- Maintains accurate filing system of purchase orders.
- Ensure existing inventory and associated expenses are within budgeted targets.
- Responsible for ensuring supplies are accurately controlled to reduce obsolete, outdated, or wasted items by maintaining appropriate PAR levels, product rotation, outdate management.
- Oversees “Outdate” processes.
- Maintains a safe and healthy work environment by implementing, maintaining and aligning with company policies.
- Develop department action plans to achieve strategic goals and continuous improvement objectives.
- Compiles and periodically updates the inventory item master; pricing, descriptions, vendor information, etc.
- Oversees daily completion of patient charges and reviews audit reports.
- Performs other duties as assigned.
RESPONSIBILITIES (additional):
- Facility Management Support – Assist Regional Manager with periodic facility rounds, placing work orders, facility inspections, drills, and coordinating repairs/maintenance.
- Special projects - Take on and manage special projects as assigned by leadership, which may include process improvements, facility upgrades, or other initiatives aimed at enhancing operational efficiency, cost-effectiveness, or compliance.
- Committee engagement – Actively participate in committees, including capital budgeting and purchasing, ensure alignment with department goals, and support budget and purchasing strategies to optimize cost efficiency and resource allocation.

REQUIREMENTS
- Proficient in Microsoft Office Suite, with an emphasis on Excel.
- Self-starter with excellent written and verbal communication skills.
- Strong analytical and reasoning skills; excellent planning and organization skills.
- 3-5 years’ experience in Supply Chain.
- Previous scrub tech experience preferred.
- Great attention to detail, quality, and a desire for success.
- Ability to lift up to 50lbs, intermittent physical mobility/activity including walking, standing, sitting, pushing/pulling of carts. Must be able to bed downward at the waist, be able to kneel.
