Job Title: Asset Essentials Systems Specialist

Job Summary: The Asset Essentials System Specialist is responsible for the overall management and optimization of the Asset Essentials System (CMMS). This role requires a deep understanding of system functionality, customization, and application to ensure seamless operation across multiple locations. They will support the organization through system training, oversight, data validation, KPI tracking, and collaboration with internal and external stakeholders.
Supervisory Responsibilities:
- Provide dotted-line oversight for purchasing teams and planner/schedulers to ensure compliance with CMMS-related processes.
- Collaborate with organizational sub-structures to ensure smooth integration and optimal system deployment.
- Lead and mentor staff on system utilization through hands-on training and competency checks.
Essential Responsibilities:
- Assist the Site Health, Safety, Environment, and Security (HSES) Manager in preparation for regulatory audits and inspections.
- Enhance the procedures for maintaining accurate records for equipment maintenance and develop procedures to strengthen the control of said records further.
- Assist other management or maintenance team members with CMMS technical support to improve repair, techniques, or procedures as required.
System Management:
- Serve as the subject matter expert for the Asset Essentials System (CMMS) with full knowledge and administrative access.
- Manage users and licenses, including adding new users, deactivating users, and requesting licenses.
- Add and manage site locations, establishing storage locations.
- Manage part and asset categories to ensure accurate organization and classification.
- Add and manage assets using standardized vocabulary and established naming conventions.
- Map repair parts across various divisions, including plants, transportation, IT, and more.
- Analyze part movement trends and collaborate with purchasing teams to establish and refine minimum and maximum inventory thresholds.
- Customize system functionalities, including:
o ABC classification of parts.
o Defining storage hierarchies.
Training and Development:
- Develop and document Standard Operating Procedures (SOPs).
- Deliver training sessions, provide updates, and check user competency.
- Design supplemental training for system updates and new features.
KPI Tracking and Reporting:
- Develop and monitor Key Performance Indicators (KPIs), including preventive maintenance (PM) completion rates, asset failure rates, reasons for failures, and repair costs.
Data Validation and Review:
- Validate system inputs, including negative balances, PM descriptions, and work order (WO) formation.
- Ensure completeness and accuracy of planned outage tasks, parts, and supplemental needs.
Vendor Collaboration:
Build and maintain relationships with vendors to trial and implement CMMS related initiatives.Required Skills/Abilities:
- Proficiency in computer systems and CMMS platforms, with expertise in Asset Essentials.
- Exceptional organizational and analytical skills, with an eye for detail in data validation.
- Strong communication and interpersonal skills to collaborate effectively with diverse teams.
- Ability to write and deliver training materials and provide hands-on support.
- Problem-solving mindset with the ability to streamline processes and optimize system functionality.
- Ability to work effectively in a team environment.
- Must be able to pass a 10 panel controlled substance testing and random testing after that.
- Must be able to pass a background investigation check and maintain in good standing order, as per TSA’s TWIC criteria.
Education and Experience:
- Associates degree preferrable.
- Previous experience with CMMS platforms, particularly Asset Essentials (required).
- Background in asset management, maintenance planning, or a related field (preferred).
Travel Requirements:
- Frequent travel to multiple company locations to provide on-site support, training, and system interface evaluation.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift 15 pounds at times.
