Position Summary:
This position serves as the Administrative Coordinator with document management responsibilities, reporting to the Business Services Manager. The role provides administrative support to the Plant Manager and key Staff Managers while managing the document control system for various procedures, standards, and reports. This position plays a crucial role in maintaining organizational efficiency and ensuring compliance with documentation standards.
Responsibilities: Document Control
- Manage the document control system, including:
- Operating Procedures
- Mechanical Procedures
- Lab & Quality Procedures
- Technical Standards
- Forms/Checklists/Reading Sheets
- Interlock Procedures
- Process Hazard Analysis (PHA) Reports
- Participate as a key member in the Digital Document Control Team, with a goal to transition to digital documentation by 2025
- Prepare and update moderately complex documents using standard office software
- Maintain technical files and organize the File Room while working toward digital storage solutions
Administrative Support
- Provide administrative assistance to management
- Schedule appointments and make arrangements for meetings and conferences
- Prepare routine correspondence, emails, minutes, and reports
- Design their own monthly schedule and prioritize work to meet business-critical goals
- Serve as building coordinator, assisting with personnel accounting and emergency procedures
- Order office supplies and assist with meal ordering as needed
- Serve as backup to the second Administrative Coordinator
Data Management & Reporting
- Collect and analyze data from various standard sources
- Generate standard reports by extracting and combining data
- Input data into standard formats to produce accurate reports
- Monitor and analyze data using budgeting systems and protocols
Compliance & Process Improvement
- Develop working knowledge of organizational policies, procedures, and relevant regulatory codes
- Ensure work adheres to mandatory procedures and required standards
- Support procurement tasks by following established procedures
- Participate in personal capability building through assessment, development planning, training, and coachin
Minimum Qualifications:
- High School Diploma or equivalent
- Minimum of 3 years of relevant industrial manufacturing/administrative experience
- Proficiency in Microsoft Office applications, particularly Word and Excel
- Working knowledge of SAP or similar systems
- Strong organizational and prioritization skills
- Effective written and verbal communication abilities
- Experience working in an administrative office position
- Outstanding verbal and written communication, presentation, interpersonal, creative thinking, consulting, and analytical skills.
- Ability to prioritize work to manage multiple projects to meet deadlines.
- Excellent problem-solving/decision-making skills.
- Ability to multi-task
- Candidates must have a valid driver's license.
