Job Summary
The Marketing Events Specialist, reporting to the Senior Events Manager, is a dynamic, detail-oriented professional responsible for overseeing conferences, trade shows, and internal company meetings. Serving as the primary logistics point of contact, this role ensures seamless planning and execution, coordinating all aspects of event operations and communicating effectively both internally and externally to deliver high-quality experiences aligned with company objectives.
Additionally, the Marketing Events Specialist will manage consultant contracts and reimbursements and collaborate with finance to ensure timely and accurate payments. This role also provides administrative support for the Marketing team, including managing purchase orders, contracts, and subscriptions for systems like Monday.com.
This position requires a collaborative professional with exceptional attention to detail and a proven ability to manage multiple priorities in a fast-paced environment.
Salary Range is $60,000-$70,000 plus a performance based annual bonus.

Key Responsibilities
Trade Show and Conference Coordination (50%)
- Oversee logistics for trade shows and conferences, including vendor management, booth setup, shipping, and staffing.
- Work closely with VP Sales and sales managers and ensure seamless communication
- Work with the Logistics Marketing Associate to assure all materials get shipped out in a timely manner
- Manage hotel arrangements and schedules for internal attendees, and speakers.
- Make dinner reservations in each city for conference attendees
- Serve as the primary point of contact for the booth captain for on-site event execution, troubleshooting issues, and ensuring a smooth experience.
- Track and evaluate event success metrics with Sales Operations Director to inform future planning and strategy.
- Required travel up to 20%.
- Contract all consultants for engagement events through LinkSquares
- Work with finance to ensure all consultants get paid in a timely manner
- Support expense tracking and invoice processing for the events department to ensure events are delivered within budget and paid timely
- Coordinate internal meetings and logistics for event-related planning sessions
- Collaborate with the Senior Events Manager to plan and execute internal and external events that align with business objectives
- Develop and manage event timelines, schedules, and checklists
- Source and negotiate hotel or venue contracts
- Coordinate all aspects of the event within budget (food and beverage, décor, design)
