Responsibilities
- Manage project schedules, including coordinating with staff members, clients and equipment orders.
- Perform clerical duties such as filing, data entry, and document preparation to support office functions.
- Monitor inventory levels of office supplies and place orders as necessary to maintain adequate stock..
- Coordinate vendor management activities, including negotiating contracts and maintaining relationships with suppliers.
- Create project manuals
- Manage travel for staff.
- Manage international and domestic shipping.
- Manage quoting, ordering and invoicing for small projects
- Operate in project management and accounting software.
- Manage insurance certificate processing.
- Manage sample inventory and approvals
- New vendor onboarding
Requirements
- Proven experience in construction office management or a similar role is preferred.
- Exceptional communication skills, both verbal and written, for effective interaction with staff, vendors, and clients.
- Proficient in schedule management and able to prioritize tasks efficiently.
- Strong organizational skills with attention to detail to ensure accuracy in all tasks.
- Ability to adapt to changing priorities in a fast-paced environment.
- Proficient in Microsoft Office
- Experience in project management and accounting software
