Position Summary:
The Receptionist ensures a welcoming and clean environment for staff and visitors by maintaining the front desk and lobby area of the office.
Location: Topeka Kansas
Education: High School Diploma or GED
Licensure/Certification: Current Driver’s License and Auto Insurance
Experience: Requires Intermediate computer skills in typing/keyboarding, Microsoft Word and Excel programs as well as Outlook email
Preferred Skills: Previous experience in children and family services preferred.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Open and close office during hours of operation
- Ensure all legal documents received are timely distributed to staff
- Answer phones, direct calls, and greet/direct visitors
- Ensure visitors sign in at the front desk
- Schedule conference rooms for staff
- Open/date stamp incoming mail and deliver to staff mailboxes
- Ensure mail is sent out at the end of each day
- Maintain postage machine: refill postage meter and order supplies
- Fax documents for staff as needed
- Regularly disinfect toys in visitation and lobby area if requested
- Clean front desk area regularly: clean counters with disinfectant, clean phone and headset with disinfectant, and straighten lobby area as needed
- Ensure landlord cleans the walkways, sidewalks and/or sands/salts the areas during inclement weather.
- Maintain a list of vendors to contact for services needed to maintain office equipment
- Assist Administrative Assistant with additional job duties as requested.
