Job Summary:

The Office Administrator plays a key role in ensuring smooth day-to-day operations within KVM Door Systems’ office. This position supports the administrative needs of various departments, including coordination of office functions, maintaining records, and assisting with billing and customer service. The ideal candidate is detail-oriented, organized, and able to multitask in a fast-paced construction industry environment.

Key Responsibilities:

  • Administrative Support:

    • Assist with document preparation, filing, and data entry.
    • Manage correspondence, including emails and phone calls.
  • Billing and Record Management:

    • Light Invoicing including generating and submitting invoices.
    • Maintain accurate records in the billing and customer management systems.
    • Reconcile accounts and follow up on outstanding payments as directed.
  • Customer Service:

    • Serve as the first point of contact for clients and vendors, providing professional and friendly communication.

    • Facilitate inter-departmental communication to ensure projects are on track.
    • Assist with receiving service requests when needed

Qualifications:

  • Proven experience in office administration, preferably in the construction or service industry.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with billing portals.
  • Excellent organizational and multitasking skills.
  • Strong communication skills, both verbal and written.
  • Familiarity with AIA billing is a plus but not required (training can be provided).

Schedule: Monday – Friday, 8:00 AM – 5:00 PM (or as determined).

Compensation: Competitive salary based on experience, plus benefits package.
