What are the responsibilities and job description for the Billing Clerk position at L.J. Gonzer Associates?
L.J Gonzer Associates is looking for individuals to join our pool of qualified candidates for potential assignment as a Billing and Credit Clerk. This is a temp-hire opportunity where you'll conduct business transactions and office activities related to Customer Service, Billing, and Credit functions.
Job Duties:
- Receive, investigate and respond to all customer inquiries regarding products, prices, shipments, and complaints
- Obtain information from other personnel if needed to meet and exceed customers' service expectations
- Document all invoices and credit terms, and enter all data into the accounting system
- Provide all responses to customer inquiries and process billing and credit transactions in an accurate and timely manner
- Resolve disputed billing or credit issues by working closely with the Accountant and Order Processing departments
- Provide timely support for shipping with commercial invoices and restricted/non-restricted articles
- Communicate with all regulations, policies, work procedures, instructions, and quality system requirements
- Answer phones and take orders
- Enter daily sales orders into the computer and print edit sheet to be checked for errors
- Release orders by shipment date and print White, Pink, and Green invoices
- Maintain daily billing record book with totals of invoice amounts
- Communicate with customers by phone/fax/email/mail to process credit applications
- Enter all new credit applications to computer for tracking
- File all Green in-house copies of invoices
- Open and distribute daily mail received, run daily mail to go out through postage machine
- Process credit checks on new and existing customers
- Make new files for customer orders at the end of each year
Qualifications:
- High school diploma or GED
- Good ability to use calculator for basic math
- Good verbal and written communication for phone work and correspondence with customers and for communications with coworkers
- Excellent customer service skills, including friendly, courteous, helpful, and very precise with details
- MS Word, accurate typing
- Accounting or manufacturing software experience
- Technical products company experience
