What are the responsibilities and job description for the Payroll/HR Specialist position at L.L. Pelling Company, Inc.?
With the upcoming retirement of our Payroll Administrator, we're restructuring our office to better streamline our operations. As part of our team, you'll play a key role in managing payroll and supporting HR initiatives like onboarding, benefits, and compliance. This role is split 50/50 between payroll and HR tasks, with the main focus being on processing payroll accurately and on time each week. The pay range is $23.35-$27.45 an hour based on experience.
SUPERVISORY RESPONSIBILITIES

RESPONSIBILITIES
- Daily monitoring of timekeeping system to ensure all records are correct and ready for payroll processing.
- Process weekly payroll in accordance with company policies and state laws; review, edit, and submit payroll by the required deadline.
- Conduct new hire orientation and ensure completion of required paperwork/benefits (E-Verify).
- Prepare employee separation notices and related documentation.
- Submit weekly tax payments, quarterly taxes, and year-end reports, including W-2s.
- Administer new hire benefits, changes, and terminations via third-party platforms.
- Reconcile and approve monthly benefit invoices.
- Provide support and guidance to management and staff on payroll and benefits-related matters.
- Ensure compliance with federal, state, and local employment laws and regulations.
- Assist with communicating job openings and benefits information to employees.
- Support special projects or events as needed.
REQUIRED SKILLS/ABILITIES
- Consistent, dependable attendance and the ability to be physically present each workday. No remote work.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong knowledge of federal and state employment laws.
- Ability to identify and proactively resolve issues and patterns.
- Excellent written and verbal communication skills with the ability to engage at all levels.
- Strong reading and interpretation skills for policies and procedures, with a commitment to confidentiality.
- Experience fostering a welcoming, respectful environment.
- Ability to provide exceptional customer service and build strong relationships across all employee levels and with vendors.
- Exceptional organizational skills, attention to detail, and ability to prioritize tasks effectively.
- Self-motivated and capable of independently managing work activities.
- Fluent in reading, writing, and speaking English.
EDUCATION AND EXPERIENCE
- Bachelor’s degree from an accredited institution.
- A minimum of 2-3 years of experience in payroll and benefits administration.
- Valid driver’s license with an insurable driving record.
PHYSICAL REQUIREMENTS
This position involves extended periods of sitting at a desk in a cubicle using a computer and office equipment.
- Ability to drive a company vehicle to LL Pelling locations, job sites, etc.
- Clear speech and hearing for effective communication.
- Ability to safely walk job sites on uneven surfaces (gravel, asphalt, slopes, ditches), around moving equipment, and in high-speed traffic.
- Occasionally lift, push, pull, or carry up to 25 pounds, mobility within the office environment.
- Perform various physical movements (stand, bend, twist, kneel, crouch, etc.).
