Responsibilities:
- Review and analyze employees' schedules for accuracy and compliance with established guidelines.
- Ensure timely and precise filing of reports, collaborating closely with team members to meet deadlines.
- Manage Accounts Payable, Accounts Receivable
- Collaborate with the VP of Finance to oversee accurate and timely management of Accounts Receivable, including processing client checks, preparing deposit slips, and maintaining records in QuickBooks.
- Support the VP of Finance in handling Accounts Payable, performing bill record entries, and maintaining an accurate system of recordkeeping.
- Handle billing tasks, create project-specific invoices, prepare supporting documents, and submit billing documents to clients on time.
- Conduct QuickBooks data entry for vendor bill records with precision.
- Work with the insurance broker to produce project-specific certificates of insurance for
- Manage customer inquiries, routing them to the appropriate team members and ensuring timely and accurate resolution.
- Greet and assist office visitors with a friendly and customer-focused approach.
- Maintain adequate supplies of employee and company forms and monitor office supply levels, placing orders when necessary.
- Demonstrate a high attention to detail and accuracy in all job tasks.
- Collaborate effectively with peers, supervisors, and customers in a positive and professional manner.
- Play a crucial role in maintaining an organized and efficient record-keeping system.
Requirements:
- Minimum High School Diploma
- Preferred experience in an office environment.
- Experience in Construction Services or a Labor Related Industry is a must.
- Bilingual in English/Spanish for both verbal and written communication.
- Strong problem-solving abilities and clear verbal and written communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, OneDrive).
- QuickBooks or similar accounting program experience preferred but no required.
- Customer-focused approach and ability to work well in a team.
- Neat and clean appearance to represent the company professionally.
- Must pass a criminal background check and drug screen.
