La Cantera Resort and Spa is seeking a dynamic and organized Outlet Event Coordinator to join our team. The Outlet Event Coordinator will be responsible for planning, coordinating, and executing events in our various dining and entertainment outlets, including Sweetfire Kitchen, Primero, La Sierra, Grille 254, Armour Room, Weiskopf, Vista Pool, and Topaz Pool. This role requires a highly organized individual with excellent communication skills, a passion for hospitality, and a keen eye for detail to ensure that all events run smoothly and exceed guest expectations.
The Outlet Event Coordinator shall strive to provide exceptional service to Resort and Spa Culture as well as promoting La Cantera Resort and Spa as both the Destination and Employer of Choice!
Event Planning and Coordination:
- Collaborate with clients to determine their needs and expectations for events at Sweetfire Kitchen, Primero, La Sierra, Grille 254, Armour Room, Weiskopf, Vista Pool, and Topaz Pool.
- Develop diagrams when necessary to share with clients and LCR associates.
- Engage with Outlet leaders to determine if setup will be executed by Banquet Housemen or Outlet Associates.
- If Banquet housemen are used, ‘Furniture Removal’ fee must be paid to houseman and written on the REO.
- This Fee can be a portion of the ‘Room Rental’ fee. If this is the case, then the split must be clearly stated on the REO.
- IE: $500 Room Rental - $100 Furniture Fee (Paid to Housemen) and $400 Room Rental.
- Offer thoughtful alternatives if a client is interested in an Outlet space that is already booked.
- Coordinate with internal departments (culinary, service staff, AV, etc.) to ensure seamless execution of events.
Client Relations:
- Serve as the primary point of contact for clients, providing exceptional service and maintaining open lines of communication.
- Conduct site visits and event consultations with clients.
- Address any client's concerns or changes promptly and professionally.
Execution and Oversight:
- Outlet Event Coordinator should be present at the beginning of all REO’s and check on client’s satisfaction with room setup, décor, timing, etc.
- In the event that the Coordinator cannot be present, he/she must inform the outlet MOD prior to the event day so an alternative presence can be scheduled. This must include an F B Supervisor or Manager who will be the point of contact for the event.
- Maintain accurate records of event details, client interactions, and financial transactions.
- Prepare event estimates prior to sending contract, send client contract once estimate is approved, provide accounting with client information to create Sertifi link and collect full deposit prior to event.
- REO’s that have any ‘On Consumption’ items, will be provided an estimate of guest consumption. If this amount varies from the actual Consumption amount from the day of event, Coordinator will ensure Accounting either charges the additional revenue or refunds the shortfall.
- Conduct post-event evaluations to identify areas for improvement and gather client feedback.
- Ensure all event activities comply with the resort’s standards and policies.
- This includes, but is not limited to:
- Following all Resort policies and procedures
- Following TABC Guidelines
- Following SA Health Department Guidelines
- Any additional Food Safety/Buffet Guidelines
- Monitor the start, and progress, of REO. This includes checking on the client, the LCR associates, food timeliness, beverage quality, and any client special requests.
Administrative Duties:
- Effeciently process purchase orders (POs) for all outlets contract services including Fiumar cigar, Open tables

Qualifications:
- Must be a United States citizen or possess a valid work permit
- Must be able to read, write and speak English
- Must be able to accurately follow instructions, both verbally and written
- Must possesses excellent communication skills
- Must be professional in appearance and demeanor
- Must always ensure a teamwork environment
- Must be able to work under pressure
- Must have strong computer skills, with a working knowledge of Microsoft Office
- Ability to work a flexible schedule that may include evenings, weekends and holidays
- Must have the ability to deal effectively and interact well with the guests and associates
- Must have the ability to resolve problems/conflicts in a diplomatic and tactful manner
- Must have a passion for creating an exceptional experience for all guests
