Position Summary:
The Assistant Operations Administrator, reporting to the Operations Administrator, is responsible for assisting in the coordination of the operations of the Hollywood Bowl, both during the period of the concert season, as well as the off-season.
Position Elements:
- Assist in the hiring, training, supervision and scheduling of the year-round Operations Office staff, whose responsibilities include reception, Lost and Found calls, mail, receiving and first point of contact for patrons/staff, and other duties as assigned.
- Assist in managing all aspects of Radio Communication Program including procurement, maintenance and monitoring.
- Assist in processing all general Hollywood Bowl invoices in the PN3 program, including coding, working with Accounting/ Vendors and tracking invoices to provide prompt and accurate payment.
- Provide and process Bowl accident reports involving patrons, employees, vehicles and property.
- Manage room requests for various spaces across Hollywood Bowl property including conference rooms, the orchestra lounge and Camrose.
- Assist with all badge preparation each HB Season, invoicing HB Food and Wine for their badges, keep current badge lists, and ordering badge production supplies.
- Assist with the management of Wristbands/Hollywood Bowl credentials, including acquiring, preparation and documenting.
- Supervise the processing, recording and notification to other departments of Neighborhood/Resident issues.
- Coordinate with Los Angeles Philharmonic Association’s Human Resources department on annual hiring campaign for over 800 seasonal staff. This consists of start packet production, organize and reserve space for “Paper Sessions”, schedule extra staff and order appropriate supplies.
- Assist the Director of Operations with annual Staff Orientation with over 550 in attendance.
- Assist in managing vendor relationships. Review proposal agreement procedures, including contracts outside post-show maintenance company, various pest control vendors, and water vendors.
- Work with LAPA departments and Lease Event Promoters on marquee copy; issue instructions to Bowl staff, and continue “letter” inventory,
- Assist with the compiling and completion of final reports at the end of each season including attendance and resident complaints.
- Manage Lost and Found program from developing digital program, recording, storage, patron retrieval and cleaning out of all items.
- Oversee Wardrobe for staff including ordering uniforms, inventory of uniforms and managing wardrobe staff.
- Coordinate the “Pre-Event Safety Check” program which entails distribution, collection, delegate to appropriate individuals for repair and follow up on completion.
- Work with the Hollywood Bowl’s Director of Operations and Assistant Director of Operations on off season facility projects.
- Execute special assignments as required.

Position Requirements:
- A minimum of three years’ experience in an entertainment venue with capacity of 7,000 seats preferred
- Ability to work long hours during the summer season
- Demonstrated leadership qualities
- Previous experience in customer-service related field
- Strong organizational and planning skills
- Superior computer skills (Microsoft Word/Excel)
- A professional and courteous demeanor, ability to handle constant interaction with the public, employees, and officials from outside agencies
- Demonstrated public speaking ability
- Dedication and commitment to engage in and promote diversity, equity, and inclusion within the staff, vendors, and within interactions with the surrounding community is a must Secondary language fluency preferred
