What are the responsibilities and job description for the Advancement Data Analyst position at La Sierra University?
The Information Services position assists and maintains the daily processing of all university gifts along with producing various reports pertaining to the gift entry process for multiple departments within the University. This includes coordinating and processing data analysis and entry projects within the database.
Duties and Responsibilities
Manages the daily work of major gift processing, donation processing and pledge management.
Manage gift analysis and entry procedure and process; reconcile daily gift batches in a timely and accurate fashion to adhere to University Advancement’s 48-hour turnaround receipting / acknowledgment policy.
Analyze gifts to determine appropriate campaigns, funds appeals for each gift to be processed. Contact appropriate officer to contact donor.
Process and enter matching gifts into the database when they are received.
Produce various complex and basic reports pertaining to the gift entry process, including multiple reports. Then distribute to the departments or staff.
Coordinate and process data analysis and entry projects; operate and maintain computer and database systems.
Produce gift receipts and individualized acknowledgement letters for all gifts received in a timely and accurate fashion.
Balances gift accounts with the Accounting Office.
Add new constituent records and gift information to the databases as needed, analyze information and populate all data fields when information is available.
Organize, coordinate and maintain the integrity of hardcopy filing system.
Establish a format and consistent operating procedure for all gift reports.
Update prospect information including : biographical, affinity, gift and relational information. Provide information as requested to support development efforts.
Train, supervise and manage student staff, when appropriate and necessary.
Act as administrator for University “Amazon Smile” account.
Coordinate volunteers for Alumni events annually.
Helps develop and implement smooth business operations of the Advancement Office.
Receives visitors and answers the office main phone lines with a high standard of professionalism.
Provides spreadsheet and word processing support.
Assists other Advancement staff in the office when needed.
Manages the Donor Services function to ensure that all donor enquiries are answered and responded to within an appropriate timeframe.
Establishes and documents departmental policies and procedures and update the existing manual describing donations processing policies.
Ensures that all IRS guidelines pertaining to the processing and receipting of donations are met.
Communicate directly with donors, financial advisors, representatives and university staff regarding gift transactions and delivery to university.
Authorize transfer of funds across university accounts. Serve as resource for university advancement and financial officers regarding gift counting.
Ensure adherence to the University gift counting and reporting policies and procedures. Ensure regulatory compliance with charitable gift accounting.
Performs additional duties as required.

Education / Experience :
Bachelor's degree (B. A.) from four-year college or university. One to three years related experience.
Language Ability :
Excellent verbal and written communication skills. Ability to use tact and diplomacy and exude a positive image, perform effective customer service and maintain a high level of professionalism.
Math Ability :
Ability to do math in order to ensure that budget and billing records are accurate.
Reasoning Ability :
Analytical thinking and interpersonal skills. Ability to define problems, collect data, establish facts, and draw valid conclusions.
Computer Skills :
To perform this job successfully, an individual should be competent in using the Microsoft Office Suite. A working knowledge of Raiser’s Edge desirable.

This position deals with highly confidential information regarding alumni, and donors and their philanthropy. In addition, sensitive faculty and staff information also passes through the office.
