Primary Purpose:
This position supports the accurate submission of student data to the Public Education Information Management System (PEIMS), ensuring compliance with Texas Education Agency (TEA) requirements for state funding, evaluation, and auditing. The role involves collaboration with the Business Office, Campus Staff, and Human Resources to analyze, troubleshoot, and train on PEIMS-related processes, systems, and procedures. The PEIMS Data Coordinator serves as a liaison between campuses and Region 20 to facilitate operations.
Qualifications:
Education/Certification:
- Bachelor’s Degree or equivalent experience in managing PEIMS Data Standards (preferred)
- High school diploma or GED required
- TASBO certification in Accounting, Budget, Payroll, Risk Management, Human Resources, PEIMS is preferred.
Special Knowledge/Skills:
- Strong attention to detail, ensuring accurate, auditable records
- Proficient in Google Suite and data analysis tools
- Capable of performing basic math and meeting deadlines
- Strong organizational, communication, and interpersonal skills
- Ability to follow and interpret detailed instructions
- Proficient use of Excel, Google Sheets, google forms, and Smartsheet preferred.
Experience:
- Experience with Student, Human Resources, and Financial information systems and best practices.
- Knowledge of TEA reporting requirements and mandates
- Experience in ensuring data integrity and accountability
- Ability to collaborate with teams and provide training and support
- Strong problem-solving skills, with the ability to manage multiple priorities under pressure
- Excellent verbal and written communication skills, especially in simplifying technical concepts for diverse audiences
Major Responsibilities and Duties:
District-Level Records and Reports:
- Coordinate collection and formatting of PEIMS data for submission to TEA
- Collaborate with campus, business, and personnel office staff to meet state submission deadlines
- Run data checks, identify issues, and ensure corrections are made
- Submit data to the ESC for processing and verify submission accuracy
- Conduct attendance audits and provide enrollment and special population reports and analysis every six weeks to the CFO.
Campus-Level Records and Reports:
- Collect and verify the accuracy of PEIMS data
- Assist campuses with registration
- Assist with attendance inquiries from parents, students, and staff
- File and maintain reports and records in accordance with established procedures
- Ensure confidentiality of all records
Training and Technical Support:
- Provide training to campus and district staff on PEIMS processes to ensure data quality and reduction of fatal errors at submission.
- Disseminate updates from TEA and ESC to staff, including new data standards
- Provide training and technical support to staff as needed to ensure data integrity.
Additional Responsibilities:
- Assist parents and staff with Ascender during the summer, troubleshooting issues as needed
- Update and manage the Fitnessgram program and submit data to TEA
- Compile and submit OCR data as required by the Office of Civil Rights
- Prepare and process Transfer Applications for district employees’ children
- Perform other duties as assigned by the Chief Financial Officer
