Description: Those individuals working in the Registration- check-in/out department are responsible for the front-line defense of Children’s Health of Carolina, PA. This includes promptly and warmly welcoming and greeting the patient and the parent/caregiver as they arrive and assisting them with their check-in/out.
Duties And Responsibilities
- Warmly welcome and greet patients and their families as they enter the office.
- Determine the need for visit (scheduled, walk-in, etc.). Ask why the child is to be seen.
- Obtain accurate demographic information, including insurance information and enter changes in the computer. Ask for a telephone number where they can be reached during the day, preferably a cell phone number if they have one.
- Verify insurance coverage, call for Carolina Access approval, if needed.
- Stress the importance of bringing Medicaid/Insurance ID card, social security card, and shot record to all visits.
- Scan or make copies of necessary documentation.
- Collect co-payments on all appropriate visits.
- Make patients aware of old balances and try to collect, if necessary, establish a payment method and timeframe.
- Send the data for the encounter form to be printed.
- Notify patients of delays in wait time. Follow up with patients and families who seem to have been waiting for long periods of time.
- Enter new patients in the electronic record.
- Have patients complete necessary HIPAA paperwork and verify with proper identification.
- Ensure end of day batch report and totals are correct.
- Ensure adequate supplies are available and notify the Director of Materials and Facilities Management of any needed supplies, etc.
- Ensure that all equipment utilized for duty of job is properly functioning and notify the Director of Materials and Facilities Management when repairs are needed.
- All phone calls should be returned within an hour, unless there are extenuating circumstances.
- Consistently provide immediate and appropriate attention to patients and family members.
- Consistently demonstrate prompt and reliable attendance.
- Consistently demonstrate cooperation and assistance with other CHC employees.
- Consistently demonstrate positive response to scheduling changes.
- Constantly monitor the reception area for cleanliness.
- Always protect the confidentiality of information and records.
- Always follow mandated regulations such as HIPAA and OSHA.

Qualifications:
- High School graduate required
- 1 yr experience working in a medical office setting
- Excellent organizational skills
- Excellent communication skills (oral and written).
- Ability to work with others in a tactful and diplomatic manner.
- Must be detail oriented, self-motivated, organized and exemplify the attitude and manner of a team player.
- Basic computer skills are required.
- Physical demands include speech, visual and auditory acuity, frequent sitting with some standing and walking.
- Work conditions include contact with patients in controlled environment, potentially contagious diseases and possibly bloodborne pathogens.
