ABOUT OUR ORGANIZATION

The Laborers Funds Administrative Office of Northern California, Inc. is a not-for-profit corporation providing administrative services under contractual agreements for Northern California Laborers Trust Funds. We employ over 100 employees and provide services for over 30,000 Laborers and beneficiaries in the various employee benefit plans we have administered since 1963.

The Role:

This is a confidential position that provides administrative support to the Operations and Communications Departments. Functions as the backup Administrative Receptionist as needed. Exercises considerable discretion and independent judgment and analyzes complex information requests. Supports the day-to-day needs of the Operations Department.

How you'll make an impact:

Operations

  • Primary point of contact for operations-related internal and external inquiries.
  • Supports Operations and interdepartmental initiatives.
  • Secondary screening and routing of incoming phone calls, inquiries, visitors, and correspondence.

Facilities

  • Primary point of contact for Facilities requests.
  • Assists in tracking progress of requests made to Property Management and continued follow-up.
  • Assists with the coordination and escorting of vendors and guests throughout LFAO space.

Communications

  • Assists with creation and delivery of internal Communications processes and projects.
  • Assists with external Communications processes and projects as needed.
  • Assists with creation and publishes LFAO social media channel content and monitors feeds.

Organizational Reporting and Analysis

  • Supports the preparation of monthly and annual reports that detail LFAO statistics and other data insights.
  • Assists with business data analysis projects leveraging specialized software to process large scale metrics.


What we are looking for:

  • Individual must be able to perform each essential duty satisfactorily and with minimal supervision.
  • Strong knowledge and understanding of fringe benefits administration.
  • Proficient in Microsoft Office Suite, and other appropriate software.
  • Bilingual in Spanish is preferred.
  • Bachelor’s Degree (BA) from an accredited college or university(preferred); or 3 years related experience and /or training; or an Equivalent combination of education and experience.
  • Ability to work effectively in an office environment.
  • Proficient in reading, analyzing, and interpreting information. Ability to prepare reports, business and interoffice correspondence, and minutes for the Corporation.
  • Effectively present information and respond to questions.
  • Calculate figures and amounts and understand the basic concepts of mathematics.
  • Solve practical problems and deal with a variety of variables in situations where only limited standardization exists. Interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Prioritize and meet deadlines. Detail-oriented with an attention to accuracy.
  • Discretion with the ability to maintain confidentiality. Good written and verbal communication skills.
  • Basic interpersonal skills in working with employees, members, and other departments to achieve desired outcomes.
  • Basic analytical skills with the ability to resolve problems by gathering the necessary information to make an effective resolution.

Typical office environment conditions with adequate temperatures and overhead fluorescent lighting, low levels of office noise.
