Summary/Objective: The Inventory Clerk role provides support to the Inventory Manager in all aspects of purchasing and inventory control. Their responsibilities include assisting with order tracking, maintaining accurate inventory records, and ensuring the smooth flow of materials within the stockroom. This role requires a combination of organizational skills, attention to detail, and the ability to perform moderate physical tasks.
Primary Responsibilities: Specific duties include, but are not limited, to the following:
Purchasing Support
- Supplier Communication: Communicate with suppliers to confirm order details, delivery schedules, and address any questions or concerns as directed by the Inventory Manager.
- Order Tracking: Assist the Inventory Manager in tracking purchase orders, updating order statuses, and promptly reporting any delays or discrepancies.
- Documentation Support: Maintain organized and accurate records of purchase orders, invoices, and other relevant purchasing documents.
- Data Entry: Input purchase order information, supplier details, and pricing into the inventory management system.
- Price Comparison: Assist in gathering quotes from multiple suppliers to support the Inventory Manager in price negotiations.
- Sample Receiving: Receive and log samples from potential suppliers for evaluation by the Inventory Manager.
- Invoice Verification: Verify invoices against purchase orders and packing slips, flagging any discrepancies for the Inventory Manager's review.
- Filing and Archiving: Maintain a well-organized filing system for all purchasing-related documents.
Stock Organization & Control Assistance
- Inventory Counts: Assist the Inventory Manager in conducting regular inventory counts, ensuring accuracy and proper documentation.
- Stock Replenishment: Monitor stock levels and alert the Inventory Manager when items need to be ordered.
- Labeling and Tagging: Label incoming stock items accurately with product information, bin locations, and other relevant details.
- Stock Rotation: Assist in implementing FIFO (First-In, First-Out) procedures to ensure proper stock rotation.
- Warehouse Maintenance: Maintain a clean and organized stockroom, assisting with tasks such as sweeping, dusting, and organizing shelves.
- Material Handling: Assist in unloading deliveries, unpacking boxes, and storing materials in designated locations.
- Inventory Discrepancy Reporting: Report any inventory discrepancies, such as damaged goods or missing items, to the Inventory Manager.
- Data Entry and Reporting: Update inventory records in the system, reflecting stock movements, adjustments, and usage.

Work Environment: This role operates both in an office and on the production floor of the manufacturing facility.
Physical Demands:
An Inventory Clerk position typically involves a moderate level of physical activity. While specific demands may vary based on the employer and work environment, common physical requirements include:
- Standing & Walking: Clerks spend a significant portion of their day on their feet, whether checking inventory, receiving shipments, or organizing the stockroom.
- Lifting & Carrying: Regularly lifting and moving boxes, packages, or materials is common. Weight limits can vary, but it's typical to handle items up to 50 pounds with assistance available for heavier items.
- Pushing & Pulling: Using hand trucks, pallet jacks, or other equipment to move heavier loads is often required.
- Bending, Reaching & Stooping: Retrieving items from shelves, unpacking boxes, and organizing stock involves frequent bending, reaching, and stooping.
- Repetitive Motions: Tasks like labeling, scanning, and data entry involve repetitive hand and wrist movements.
- Visual Acuity: Good vision is essential for reading labels, identifying parts, and conducting inventory counts accurately.
- Communication: Clear verbal communication is necessary for interacting with colleagues, supervisors, and suppliers.
Position Type/Expected Hours of Work: This is a full-time position. Days and hours of work are primarily Monday through Thursday, 6:00am to 4:30pm. Occasional, evening and weekend hours may be required as job duties demand.
Travel: No travel is expected with this role.
Required Education and Experience:
- High School Diploma or equivalent; further education or certification in supply chain management is a plus.
- 1-2 years of experience in purchasing or similar role, preferably in a manufacturing environment.
