What are the responsibilities and job description for the Montessori School Assistant Director position at Ladybird Montessori School?
Ladybird Montessori is expanding our office staff and is now interviewing for the position of: Assistant Director
We are a Montessori school located on 14.5 acres and serve children from birth-middle school. We have a farm and numerous outdoor class/play spaces.
Annual salary is $45,000-$55,000 DOE and includes health insurance, dental, vision, the opportunity for tuition discounts for your children if applicable and more. Please note: this position works year around even over teacher holidays. Although this position works when the teachers are off it does have 10 days of floating PTO and paid holidays on Labor Day, Thanksgiving Day, Christmas Eve, Christmas Day, New Years Day, Good Friday, Memorial Day, and 4th of July.
Room for upward mobility for someone who is a fast learner, hard worker, and is able to not only complete the assigned tasks but take on additional administrative duties.
Requirements:
- Must be at least 25 years of age.
- Fingerprint background check
- CPR/First Aid Certified
- Must have High School Diploma or GED
- Must have Bachelors Degree
- Must already have an AMS Montessori Administrators credential or be willing to obtain the credential once employed at Ladybird.
- Must have at least two years of administrative experience in a school/childcare setting with 3 professional references who can confirm that experience.
- Must have a background knowledge of DFPS Minimum Standards and be able to demonstrate that knowledge when interviewed. This position is responsible for ensuring the school passes all inspections with flying colors and does not ever incur an infraction due to always exceeding expectations with DFPS Minimum Standards.
- Responsible for daily DFPS grounds checks and checking in with the Groundskeeper on their daily additional grounds checks and ensuring all needed tasks are added to the schedule/calendar and completed in a timely manner.
- Responsible for the inventory and supply list and ordering school supplies to be delivered to the school or to request the Director to purchase supplies that cannot be delivered.
- Must be proficient with Windows Operating Systems and Google Office
- Must feel confident creating a variety of spreadsheets and keeping them maintained to aid in office organization. The creation of a spreadsheet will be part of the interview process.
- Must feel confident keeping up with the schools variety of google calendars such as event calendar, request off calendar, staff birthday calendar, etc. Must be on top of sending out reminders to staff and parents about upcoming events as well as sending a monthly events newsletter with the support from the staffing coordinator.
- Must be proficient at creating and maintaining files for student and staff records. (There is a Staffing Coordinator to help with these tasks but this position manages these tasks to ensure they are done correctly and timely.)
- Must be a fast learner in using a variety of Apps such as Transparent Classroom, Quickbooks Time, Brightwheel, Canva, etc and will also be the position who occasionally reviews the work of the other office staff to ensure it is being completed correctly and in a timely manner.
- Is responsible for managing the staffing coordinator who is responsible for staffing schedule/calendar and ensuring all shifts are covered daily.
- Is responsible for posting open positions and interviewing to fill open spots and overseeing new hire onboarding with the support from the staffing coordinator.
- Is responsible managing the staffing coordinator who oversees employees hours in Quickbooks time and keeping up with tardiness, absences, unapproved overtime, etc and letting the Director know if an employee is needing intervention.
- Is responsible for aiding the Director in scheduling, organizing, and running school fundraisers/events and is given a team of office staff, volunteers , and interns to assist in the fundraising and events.
- Is responsible for supporting the Admissions Coordinator when needed, and overseeing the duties of the Nature Coordinator/Groundskeeper, the Staffing Coordinator, the Office Assistant/Floater, Parent Volunteers, and Interns to ensure the school and office is running at its best potential.
- Must be proficient in monitoring a high volume of emails, phone, and in person correspondence
- Must be able to be flexible and work around frequent interruptions and still be able to get the tasks at hand completed in a timely manner. This position is salaried, not hourly, so the work has to get done regardless of the amount of time it takes. If someone doesn't have good time management they will be working late every day or taking work home with them every day. Only apply for this position if you have a strong work ethic and solid time management skills.
- Must be a self starter and problem solver.
- Must be proficient with operating a copy machine, laminator, and other office tools and troubleshooting how to maintain them if they need maintenance.
- Must have experience working with children from 8 weeks-15 years of age, as this position is a back up substitute in times of emergency. (There is a floater who is the first to sub, and a staffing coordinator who is second to sub, but this position does have to sub shifts if the floater and staffing coordinator are already covering somewhere else.)
- Must be friendly and outgoing, as this positions works with many different people
- Must be able to work occasional evenings or wknds to help with school projects, professional development, parent nights, fundraising, hosting events, etc
- This position requires light housekeeping duties in office including sweeping, vacuuming, taking out the trash, maintaining the staff bathroom, etc. (We do have a cleaning crew that comes over the weekends and an Office Assistant who also helps with this but we all help keep the office tidy.)
- Must be prepared to engage in a working interview where the potential candidate will be asked to portray office experience by being asked to complete certain office tasks.
- Job Type: Full-time
- Traditional Hours: 8:00am-4:30pm M-F but could be required to sub any hours between 7:00am-6:00pm if a staff member calls in and the floater or other substitute isn't available to sub that day. This position also requires some days where the admin team has to work late to meet a deadline. Only someone with flexible availability should apply for this position as there are days this position has to stay late to cover shifts or finish projects as is the nature of this position.
