We are a modern state-of-the-art children’s dental office in Norwalk seeking a caring, enthusiastic, hardworking, and reliable Assistant Manager with at least 2 years dental treatment coordinating or managing experience and great bilingual communication skills to join our Pediatric Dental team.
Business hours are 7:50am-5pm weekdays, 7:50 am-2pm rotating Saturdays. OFF Sunday.

About the Role
As an Assistant Manager, you will support the Office Manager in managing the administrative, financial, and operational aspects of the pediatric and orthodontic office. You will work closely with the dental team, including dentists, assistants, and receptionists, as well as upper management to ensure smooth office operations, high levels of patient care, and efficient business practices.
Responsibilities:
- Oversee daily office operations, supervise staff, and lead staff meetings and huddles as needed.
- Maintain an organized and productive office schedule to ensure the dentist's day runs smoothly and efficiently.
- Manage staff schedules to ensure adequate coverage and efficiency.
- Greet and assist new patients with registration forms, ensuring a great first impression.
- Answer multi-line telephones
- Schedule and confirm appointments
- Verify patients' insurance plans: PPO, Medi-cal/Denti-Cal and check eligibility
- Facilitate and present patient's dental Treatment Plan with parents and collect payments/copays if needed.
- Offer financial arrangements including CareCredit and in-office payment plans, and collect payments
- Create and send insurance claims for Medi-cal and PPO.
- All front desk duties including scanning insurance forms, EOBs', medical history, other documents into computer database
- Lead the front office team, post payments, follow up on claims, billing, and payroll.
- Coordinate ordering of office and clinical supplies with the back office.
- Meet deadlines and keep the office manager informed of progress, timelines, and any issues.
- Address any issues that may arise with patient‘s parents or staff, ensuring great communication and customer service.
- Oversee hiring and conduct performance reviews.
Qualifications:
- Bilingual Spanish
- Minimum 2 yrs Dental experience in treatment coordinating or managing is required; pediatric/orthodontic experience is a plus.
- Strong leadership, organizational and multitasking skills, with the ability to prioritize tasks effectively.
- Proficiency in dental software (e.g., Dentrix, Dentrix Ascend) and familiarity with basic computer applications (e.g., Microsoft Office).
- Excellent communication and interpersonal skills, especially when interacting with children and families.
- Ability to work effectively as part of a team, supporting both clinical and administrative functions.
- Positive, friendly attitude with a strong commitment to delivering excellent patient care.
- Experience with Orthodontic case presentation and financial arrangements is a plus.
