What are the responsibilities and job description for the Deputy Auditor position at Lagrange County?
Incumbent serves as Deputy for the LaGrange County Auditor’s Office, responsible for the transfer of real estate property, drawing the splits and plats in the aerial books, and maintenance of appropriate documentation and assisting the public.
DUTIES:
- Processes applications for property tax exemptions and deductions, including completing necessary forms, entering data in computer, and filing written documentation for permanent records in appropriate files. Assists with investigating current taxes owed and calculating taxes.
- Maintains transfer of property deeds and enters updated information in computer, including address changes. Performs property transfers in computer system.
- Researches problems for property owners, including reviewing plat and transfer books, pulling old deeds, verifying accuracy.
- Balances transfer money, tracks splits, and forwards copies to designated departments.
- Enters corrections of error and added assessments for corrections to tax statements.
- Assists Assessor’s Office with sales disclosure and transfer questions, enters transfer slips on aerials, forwards slips to Assessor and maintains copies of deeds in appropriate files. Retrieves copies of recorded documents and matches to transfer slips for computer entry.
- Represents the Auditor’s Office in a customer service role by answering telephones/greeting taxpayers in a polite and professional manner, providing information and assistance, taking messages, and directing callers/visitors to appropriate individual or department.
- Performs duties of other office personnel as needed.
- Performs related duties as assigned.
I. JOB REQUIREMENTS AND DIFFICULTY OF WORK:
- High school diploma or GED.
- Ability to meet all Department hiring requirements, including passage of a drug test.
- Working knowledge of standard office policies and procedures and Department computer systems and related programs, and ability to apply such knowledge to a variety of interrelated processes, tasks and operations.
- Working knowledge of legal procedures concerning local property and personal taxation, with ability to read/interpret legal descriptions and assure proper maintenance of public records and tax billing.
- Working knowledge of standard English grammar, spelling and punctuation, and ability to complete various forms/documents and prepare written reports as required.
- Knowledge of standard filing systems and ability to create and maintain Department files and records.
- Ability to operate standard office equipment, including computer, calculator, telephone, copier, fax machine, and microfilm reader.
- Ability to effectively communicate orally and in writing with co-workers, other County departments, and the public, including being sensitive to professional ethics, gender, cultural diversities and disabilities.
- Ability to comply with all employer and department polices and work rules, including, but not limited to, attendance, safety, drug-free workplace, and personal conduct.
- Ability to provide public access to or maintain confidentiality of department records and information according to state requirements.

II. RESPONSIBILITY:
- Incumbent performs duties according to a flexible, customary routine and standard Department policies and practices with priorities primarily determined by seasonal deadlines. Assignments are guided by definite objectives using a variety of method or procedures, with incumbent referring to supervisor for unusual matters, such as policy interpretations. Decisions are always determined by specific instructions or existing, well established policies and procedures. Work errors are primarily detected or prevented through procedural safeguards and legally defined procedures. Undetected errors could result in loss of time to correct error and/or inconvenience to other agencies or the public.
III. PERSONAL WORK RELATIONSHIPS:
- Incumbent maintains contact with co-workers, other County departments, and the public for the purpose of exchanging information.
- Incumbent reports directly to County Auditor and/or Auditor Assistant.
IV. PHYSICAL EFFORT AND WORK ENVIRONMENT:
- Incumbent performs duties in a standard office environment and at a service counter, involving sitting/walking at will, standing/walking for long periods, lifting/carrying objects weighing less than 25 pounds, pushing/pulling objects, bending, reaching, crouching/kneeling, close/far vision, keyboarding, color/depth perception, speaking clearly, hearing sounds/communication and handling/grasping/fingering objects. Incumbent maintains frequent contact with the public and may be exposed to irate/difficult persons. Incumbent occasionally travels out of town for meetings.
