What are the responsibilities and job description for the Administrator position at Lake Caroline POA?
In this position, you will work within a team to provide excellent customer service to the residents of Lake Caroline. You will also be responsible for identifying violations of our Regulations throughout the neighborhood and bringing them to resolution. Along those same lines, you will assist the Architectural Control Committee to manage projects within the community, all while sharing administrative duties of counter work, phone calls, and emails with the other office staff. You will need a strong background in customer service, and the ability to handle situations with professionalism and patience. Excellent time management skills will be needed and the ability to work autonomously to complete your tasks.
Qualifications:
- High School degree or GED equivalent and experience in office administration
- Must have the ability to deal with a diverse public on a wide range of issues
- Experience with HOA/POA Compliance preferred
- Experience with property management a plus
- Knowledge of blueprints and site plans or the ability to learn
- Possess extremely strong organizational and time management skills
- Possess a strong passion for customer service
- Strong computer proficiency (QuickBooks, Outlook, Excel, Word, Vantaca)
- Ability to work both autonomously and collaboratively with a team
- Strong communication skills, both written and verbal
- Strong problem-solving skills and attention to detail
- Must be of strong moral character and have the ability to enforce rules as outlined in our Governing Documents
- Experienced boater with VA Boater Safety card preferred or the ability to obtain
- Must have a clean driving record with no DUI or reckless driving
- Must be able to pass a background check and on-boarding and randomized drug tests
Duties and Responsibilities:
- Become knowledgeable in our POA Rules and Regulations
- Perform inspections of community for violations multiple times a week in office vehicle and/or boat
- Query internal database for septic violations
- Manage timely processing of violations to include, mailing of letters, tracking violations, and maintaining database of violations and resolutions
- Attend once-a-month Compliance and Hearing meetings in the evening at 6pm.
- Prepare documentation both electronic and hard copy
- Organize meeting for the C&H Committee to review and present each case
- Provide monthly report to General Manager
- Responsible for the review and acceptance of all ACC application packages and collecting all appropriate fees at the time of submission
- Inspect and photograph property related to ACC application
- Conduct construction project inspections to ensure compliance with LCPOA regulations
- Be knowledgeable of County and State laws pertaining to construction on waterfront properties
- Present each application with supporting documentation to the ACC Committee during bi-weekly morning meetings
- Manage timely processing and notification of ACC approval or denial and create permits as appropriate
- Scan all documents to lot files
- Physically inspect each property that has ACC permit to confirm permit approval and regulations are being adhered to
- Maintain electronic database of ACC permits
Work hours are a standard 40 per week, although overtime may be required. Work to be performed in the LCPOA Office. Timeliness and adherence to posted arrival/work start times and break times are strictly enforced. No job description can be all-inclusive.
