JOB DESCRIPTION
POSITION: SECRETARY to the SUPERINTENDENT
QUALIFICATIONS
1.High school diploma.
2.Proficient in the use of computers, word processing, Publisher, Google platforms.
3.Experienced in providing secretarial services to a local school district or to the private business sector.
4.Ability to cope with emergency situations and changes in the daily routine, and to work under the
pressure of deadlines.
5.Demonstrated ability in effective organizational, visual, and verbal and written communication skills.
6. Ability to follow instructions, rules, regulations, and procedures pertaining to the job; and to assume responsibility without direct supervision, exercise initiative and judgment, and make decisions within the scope of authority.
7.Capacity to maintain confidentiality in the nature of the position and to not discuss work-related matters outside the office.
8 .Ability to function harmoniously with co-workers, supervisors, administration, staff, students, and public.
9.Good moral character as evidenced by the absence of any criminal or unethical convictions, or rehabilitation to the satisfaction of the Madison Local Board of Education.
10.Such alternatives to the above qualifications as found to be appropriate and acceptable to the Superintendent.

JOB GOAL
To assist the Superintendent and administrators in the efficient operation of the Board of Education offices so that optimum attention can be given to the concerns of education and educational administration.
ESSENTIAL PERFORMANCE RESPONSIBILITIES
1. Maintains Board Docs for Board of Education agenda preparation.
2, Maintains Board Docs for Board policy and Administrative Guidelines.
3. Prepares negotiations materials for the certificated employee union; formulates final draft of the Negotiated Agreement.
4. Maintains licensed employee personnel files and seniority lists for both classified and licensed employees
5. Assists in preparing and updating annual salaries for certificated personnel; prepares licensed employee supplemental contracts.
6. Receives and routes daily correspondence; initiates standard response correspondence from data-base of Superintendent's form letters.
7. Maintains an efficient filing system for correspondence and other communications received by the Superintendent; prepares records for destruction according to state schedules.
8. Performs any bookkeeping tasks associated with the position.
9. Maintains a current substitute teacher list using Frontline. Also maintains current employees using Frontline.
10. Maintains district website.
11. Prepares and sends out community updates and calamity day notifications via Infinite Campus and website.
12.Organizes and directs receptions, dinners and conferences for the Board of Education's and Superintendent's business.
13. Arranges for travel and accommodations for the Superintendent and Board of Education for out-of-town conferences.
14. Welcomes Board office visitors and attends to the needs of the public to ensure a favorable impression of the Madison Local School District.
15. Performs office tasks generally associated with the position of Secretary to the Superintendent in a local school district, and other duties as assigned by the Superintendent.
16. Organizes and prints documents using the Production Printer as well as maintains supplies for the Production Printer.
TERMS OF EMPLOYMENT
Salary, work year, and terms and conditions of employment to be determined by the Madison Local Board of Education in accordance with the Ohio Revised Code.
EVALUATION
Performance of the Secretary to the Superintendent will be evaluated by the Superintendent in accordance with the provisions of Madison Local Board of Education policy.
