What are the responsibilities and job description for the Payroll Clerk position at Lake County Juvenile Complex?
ESSENTIAL FUNCTIONS:
- Maintains and verifies that time recorded in the Payclock timekeeping system is an accurate recording of each employee’s work hours for each week
- Communicates with Personnel Administrator to ensure timekeeping policies and procedures are clearly established and implemented on both Court and Detention side
- Reviews the time managements sheets (TM sheet) received from department supervisors on a weekly basis
- Verifies each time management sheet that has been submitted is signed by employee and supervisor with a date
- Verifies entries and calculations done by employee/Supervisor are correct as they relate to Payclock timesheets provided along with the time management sheet and other supporting documentation (i.e. Dock Pay, Suspension Notice, etc)
- Consults with appropriate supervisor as soon as possible with any question or discrepancy (any corrections/changes made are to be noted, initialed and dated by supervisor, a copy of the corrected time management sheet should be provided to employee)
- Enters data presented into Payclock within 24-48 hours of receipt of time sheets; checks off each entry, initials and dates sheet upon completion (to ensure accuracy of the Employee Detail system, the Timekeeper should check that all necessary prior entries have been addressed, no new entries should be made to an employee’s record if there appears to be any missing weeks)
- Maintains individual time management paper files for every employee and provide measures to ensure appropriate level of security exists that will eliminate possibility of fraud and/or abuse
- Audits the Payclock timekeeping program to the paper files throughout the year (a final year end audit should be completed to ensure that the paper time management file for each employee supports the entries found in Payclock reports)
- Prepares year end carryover report
- Introduces and trains new employees to Payclock and all time usage forms and procedures
- Responsible for the accurate and timely conversion of Payclock timekeeping information into Oracle
- Responsible for assisting the Human Resources department as necessary
EXPERIENCE:
- Minimum of 2 years of experience in payroll processing or related field
- Proficient in using payroll software
- Strong knowledge of payroll processes
- Excellent attention to detail and accuracy in data entry and calculations
- Strong organizational skills and ability to prioritize tasks effectively
- Ability to maintain confidentiality of sensitive employee information
