OFFICE MANAGER
Job Overview
Electrical contractor seeking an experienced Office Manager to join our team. The ideal candidate will be organized, detail-oriented, and possess excellent communication skills. As the Office Manager, you will play a crucial role in ensuring the smooth operation of our office environment.
Responsibilities
- Knowledge of the Quality Policy and all Standard Operating Procedures (SOP) pertaining to the position.
- Provide administrative support to the Vice President, Project Managers and Estimators.
- Manage office operations and procedures to ensure organizational effectiveness
- Oversee office budgeting and expense management
- Coordinate and manage vendor relationships
- Supervise administrative staff and provide guidance and support
- Maintain office policies and procedures
- Handle human resources functions such as recruiting, onboarding, and employee relations
- Implement and maintain office filing systems
- Schedule meetings, appointments, and maintain calendars
- Communicate with internal and external stakeholders professionally
Skills/Qualifications
- Assist Project Managers in maintaining project files, collecting contract documents and billing information.
- Preparing billings and supervise the preparation of T & M projects billings timely.
- Preparing invoice registers, retainers and entering invoices into the accounts receivable system.
- Preparing weekly collection reports; provide customer service in resolving payment conflicts and collection accounts.
- Prepare weekly and monthly job cost reports.
- Supervision and maintenance of cell phones, credit cards and expense reports.
- Supervise and prepare the input of payroll hours and all payroll functions for field employees, including weekly manpower schedule.
- Maintain all targeted projects, managing hours and dollars to apply to the proper projects.
- Supervise the preparation of all maintenance and miscellaneous manuals/submittals as directed by Project Managers.
- Must consistently and regularly utilize discretion.
- Proficient in phone etiquette and customer service principles.
- Strong organizational skills with the ability to multitask effectively.
- Proven track record in general office management.
- Ability to lead and manage a team effectively.
- Excellent communication skills both written and verbal.
- Experience in vendor management and negotiation.
- Familiarity with budgeting processes.
- Other duties as assigned.
Experience
- Microsoft Office: 3 years (Requirement)
- Office Management: 5 years (Requirement)
- Must be able to pass 10 panel drug test. (Requirement)
- Must have a valid Michigan drivers' license. (Requirement)
- Construction background is a must.

Pay: $60,000.00 - $70,000.00 per year
