Job Title: Dental Front Desk and Treatment Coordinator
Key Responsibilities:
- Front Desk Operations:
- Greet and check in patients as they arrive.
- Answer phone calls and respond to patient inquiries, including appointment scheduling, treatment questions, and billing inquiries.
- Verify patient insurance information and gather necessary documentation.
- Manage patient intake forms and ensure proper information is entered into the system.
- Maintain a clean and welcoming front office environment.
- Ensure patient confidentiality in accordance with HIPAA regulations.
- Appointment Scheduling:
- Schedule and confirm patient appointments.
- Ensure optimal scheduling to avoid conflicts and manage patient flow efficiently.
- Follow up with patients on upcoming appointments and reschedule if needed.
- Insurance and Billing:
- Verify dental insurance eligibility and benefits.
- Assist with insurance claims submission and tracking.
- Process patient payments and handle billing inquiries.
- Discuss treatment costs and payment options with patients.
- Prepare and explain financial treatment plans to patients in a clear and concise manner.
- Treatment Coordination:
- Work closely with the dentist and clinical team to explain and discuss recommended treatment plans.
- Assist patients in understanding their dental treatment options, timelines, and costs.
- Schedule necessary follow-up appointments for ongoing treatments.
- Provide patients with necessary pre-op and post-op instructions.
- Ensure patients are informed about their insurance coverage and out-of-pocket expenses.
- Patient Relations:
- Create a positive and professional experience for patients, building long-term relationships.
- Address any patient concerns or complaints in a calm and professional manner.
- Provide ongoing support and communication to ensure patient satisfaction.
- Administrative Duties:
- Maintain accurate and up-to-date patient records.
- Help manage inventory of office supplies and dental materials.
- Coordinate with the dental team for any special requirements (e.g., referring patients to specialists).
- Perform general office duties, including data entry, filing, and organizing patient records.
- Other Duties:
- Assist with other front office tasks as needed (e.g., patient check-out, confirming insurance details).
- Participate in continuing education or training to stay up to date with dental office technologies and procedures.
Qualifications:
- High school diploma or equivalent.
- Experience working in a dental office, especially in a front desk or treatment coordinator role, is preferred.
- Knowledge of dental terminology, procedures, and insurance processes.
- Proficiency with OPEN dental management software.
- Strong organizational skills and attention to detail.
- Excellent communication and customer service skills.
- Ability to multitask and manage a busy office environment.
