Position Summary:
The Facilities Department Manager plays a key leadership role in ensuring the safe, efficient, and compliant operation of all physical infrastructure across the health system. Covering more than 700,000 square feet of clinical, administrative, and support space, this position is responsible for daily facilities operations, compliance oversight, and support of capital and renovation projects. The Manager will also take on direct oversight of a portfolio of projects to relieve the burden on the Director of Facilities and ensure timely execution. This is a growth-oriented role for a skilled facilities professional ready to contribute both operationally and strategically.
Core Responsibilities:
Operations & Maintenance
- Oversee the operation, repair, and preventative maintenance of all critical building systems, including HVAC, plumbing, electrical, and life safety infrastructure.
- Maintain uptime and functionality of systems that directly support patient care and health system operations.
Regulatory Compliance & Safety
- Ensure compliance with applicable codes, healthcare regulations, and safety standards including Joint Commission, NFPA, OSHA, and local authorities having jurisdiction.
- Lead inspections, audits, and documentation processes to maintain readiness and avoid deficiencies.
Major Projects Management & Oversight
- Actively manage a portfolio of ongoing facility-related projects, including renovations, infrastructure upgrades, and departmental reconfigurations.
- Coordinate project scope, scheduling, budgets, and resources in collaboration with departments, contractors, and consultants.
- Serve as a day-to-day point of contact for project execution, escalating issues as needed while keeping the Director informed.
- Ensure alignment with organizational standards, minimize disruptions to clinical operations, and deliver high-quality outcomes on time and within budget.
Capital Project Support
- Assist with long-term planning and development of large-scale capital improvement projects.
- Participate in feasibility assessments, cost estimation, and design review processes.
- Represent the Facilities Department in meetings with architects, engineers, and construction teams.
Financial & Budgetary Oversight
- Manage the operating budget for maintenance and facilities functions.
- Monitor expenditures and identify cost-efficiency opportunities through data analysis and vendor negotiation.
Space Planning & Utilization
- Support strategic space planning efforts and department relocations across the health system.
- Contribute to assessments of space utilization and recommendations for layout improvements.
Vendor & Contract Management
- Manage relationships and performance of third-party vendors and service contractors.
- Coordinate procurement, RFPs, and contract renewals in line with system purchasing policies.
Team Leadership
- Supervise and support the development of facilities staff, including supervisors and technicians.
- Provide training, coaching, and performance feedback to maintain a high-performing team.
Continuous Improvement
- Lead initiatives aimed at operational efficiency, sustainability, and preventative maintenance optimization.
- Leverage work order systems and facilities data to identify trends, track KPIs, and drive improvements.
Required Skills and Qualifications:
- Minimum of 5 years of facilities management experience in a healthcare, institutional, or large-campus environment.
- Associate or bachelor’s degree in engineering, construction management, facilities management, or a related field preferred; equivalent experience may be considered.
- Strong knowledge of building systems, maintenance practices, healthcare compliance standards, and regulatory requirements.
- Proven ability to manage multiple projects and priorities across a large, complex environment.
- Experience with project management methodologies, tools, and vendor coordination.
- Strong leadership and organizational skills, including team supervision and cross-functional collaboration.
- Experience managing budgets, contracts, and preventive maintenance programs.
- Excellent verbal and written communication skills.
- Relevant certifications such as CHFM, PMP, or equivalent are a plus.
