Job Description
The Operations Assistant at Lakehouse Music Academy (Red Bank) ensures the smooth day-to-day operations of Lakehouse Music Academy by handling administrative, customer service, and production tasks. This role involves supporting students, parents, staff, and instructors while maintaining high standards of professionalism and organization.
Example schedule includes:
Mondays-Thursdays 1-9pm, Saturdays 9am-5pm
Responsibilities
Client Support & Communication, including but not limited to:
- Greet guests warmly, maintaining a positive, empathetic and professional attitude toward clients at all times
- Answer phones, respond to emails and texts, and address client and instructor inquiries professionally and ensure satisfaction by resolving issues promptly
- Provide tours to prospective clients
- Assist with scheduling, billing, and onboarding of new clients
- Confidential communication with management staff about daily/ongoing issues
Production & Facility Upkeep, including but not limited to:
- Set up and maintain lesson and rehearsal spaces, including organizing the front office, lobby, and rooms
- Perform daily cleaning tasks such as vacuuming, taking out garbage, and restocking supplies
- Inspect and report any broken or missing equipment and coordinate repairs with management (knowledge of equipment is not a prerequisite)
- Assist with gear setup and upkeep for classes, rehearsals, and events
- Open and close the office and classrooms as needed
Scheduling & Administrative Tasks, including but not limited to:
- Maintain lesson, group room, and rehearsal schedules in Opus1 in a timely manner
- Handle complex scheduling requests
- Process client payments and forms
- Maintain accurate records and perform general clerical duties using Google Suite and task management tools
- Communicate with clients through various channels including phone calls, texts and emails
- Acknowledge and resolve customer complaints
- Know our services at length so that you can answer questions
- Keep records of client interactions, transactions, comments and complaints
- Communicate and coordinate with colleagues as necessary
- Ensure customer satisfaction and provide professional customer support
- Assist music directors and enrollment team with signing up new clients as needed
- Perform other duties as assigned

Qualifications
- High school diploma, general education degree or equivalent
- Ability to stay calm when customers are stressed or upset
