Responsible to oversee, coordinate, and support the surgery scheduling process, including providing exceptional customer service, managing patient reservations, and communicating effectively inside and outside the department. Identifies opportunities to negotiate placement of surgical cases so that resources are best aligned for optimal utilization during prime time hours. Accountable to process and validate patient transactions accurately and in a timely manner. Adheres to all policies and protocols to best contribute to the efficiency and the financial success of the department.
Standard Work Duties: OR/Invasive Lab Administrative Support
- Performs scheduling data entry including correct surgeon, procedure, special equipment needs, and surgical times. Schedules surgical cases to best place physicians, OR suites, anesthesia and equipment, accurately to optimize all resources at a high level of utilization. This includes scheduling within surgeon block and non-block designated times, pre-determined staffing parameters, and anesthesia assignments.

- Translates and negotiates all schedule events to a final schedule form and coordinates those events with inside and outside department t resources and departmental events. Communicates all schedule events via software updates and hard copies at pre-determined times of the day.
- Responsible to accurately process data entry of patient records with the correct ADT medical record number, account number, and date of service. This includes capturing all patient billable and non-billable charges, operating room and anesthesia time charges, and statistical information. Also, accountable to correctly record all state regulatory required implantable device tracking lot numbers.
- Accountable to confirm final validation of patient charges and the successful transmission to Patient Financial Services. This includes addressing all patient billable adjustments, miscellaneous charges, and general surgical procedure requirements. Works with Patient Financial Services to solve any patient account issues.

- Schedule all same day Add On and Emergent cases. This includes communicating with charge nurse, anesthesia charge, designated OR staff, surgeons, surgical assistants, and manufacturer representatives. Print preference cards
- Manages and updates the Surgery Operations Manual, Medical Staff Delineation Authorization Manual, and Special Equipment Requirements Document.
- Performs miscellaneous duties such as special data base projects, compiling data, participating with other departmental functions, recording miscellaneous patient charges, and updating average procedure times. Assumes accountability for personal and professional growth and development of one's own potential, including participation in activities that promote patient care and safety. Assumes responsibility and accountability for acquiring information that is essential to the successful performance of duties and responsibilities.
