Position Summary:
Lakes Region VNA and Hospice is seeking an energetic and organized Scheduling Coordinator to join our team. This role is pivotal in coordinating services between clients and caregivers to ensure optimal scheduling and client satisfaction. The Scheduling Coordinator works closely with clinical leadership to manage caregivers’ interactions, ensuring proper staffing and continuity of care.
Key Responsibilities:
- Independently create and manage staff schedules per discipline, ensuring comprehensive coverage.
- Maintain and update schedules in the electronic medical record (EMR) system.
- Keep accurate records of staff availability and attendance.
- Collaborate with field staff to meet patient scheduling needs.
- Assign patients to appropriate staff based on continuity of care, clinical competence, and geographic location.
- Coordinate patient schedules following the clinician’s plan of care, informing staff of schedule changes and other pertinent patient information.
- Communicate with patients and caregivers regarding schedule changes.
- Demonstrate understanding of payer sources and clinical computer systems.
- Maintain a positive and collaborative relationship with the clinical team.
- Balancing the nursing schedule.
- Scheduling patients all week.
- Answering the phone.
- Reaching out to provider’s offices if needed.
- Supporting the Volunteer Coordinator.
- Doing courtesy calls/check ins.
- Recruitment of volunteers through community events.
Communication:
- Effective communication skills are needed to coordinate schedules and communicate with stakeholders effectively.
- Ability to clearly explain plans, schedules, workflows, and directions.
- Ensures clear communication when scheduling appointments, conferences, or training.
- Ability to juggle many different tasks at once.
- Excellent customer service skills.
Qualifications:
- Education: high school diploma or GED required, associate or bachelor’s degree preferred.
- Experience:
- Minimum two years of office or clerical experience in healthcare setting.
- Prior experience as a multi-disciplinary scheduler preferred.
- Skills:
- Strong communication and interpersonal skills.
- Ability to work effectively with staff.
- Excellent organizational and time management skills.
- Proficient in Microsoft Word and Excel.
- Highly organized, flexible, and dependable with strong problem-solving skills.
- Ability to work independently and under pressure.
- Must be self-motivated, dedicated, detail oriented.
