Purpose:
Code invoices and credit card statement clearing for Director of Maintenance and maintain inventory and/or order all materials and parts needed for the Maintenance and Refurb Teams.
Essential Duties:
- Answer telephone calls and relay messages to the Assistant Director and the Director of Maintenance by email or in case of emergencies, by radio; answer routine inquiries; complete routine typing and filing as assigned by Assistant/Director of Maintenance.
- Discuss special-order items with Director of Maintenance. Report the hours worked by Refurb to DSI and payroll each pay period and document on Refurb tracking sheet.
- Keep track of work order system, ensuring the work orders have been completed and input into the work order system. Alert the Director of Maintenance and Assistant Director of maintenance of any work orders that are behind and communicate with the community receptionists of delays. Ensure the work orders to be billed out have been coded and sent to A/R in a timely manner.
- Maintain appropriate tracking lists appliance serial numbers, phone roster, disaster list, and weekend on-call Memos to be distributed weekly.
- Update and maintain SDS sheets for Maintenance.
- Maintain the copy machine in proper working order and ensure that Maintenance, Grounds, Security and Transportation have the needed office supplies for daily operations.
- Assist in scheduling outside contractors for work beyond the scope of Maintenance/refurb Teams and coordinate with Move-In Coordinator, Director of Maintenance, and Assistant Director of Maintenance.
Required Qualification:
- High School graduate or GED.
- Average typing speed of 40 wpm with 92% accuracy.
- Effective communication with residents, families and staff must be able to see, hear, speak, read and write English.
- Must be a minimum of 21 years old, hold a valid Florida driver’s license and maintain a safe driving record.
Preferred Qualifications:
- Two years secretarial or clerical experiences preferred.
Salary/Hourly Rate:
- $18.00 - Negotiable
