Role Overview
We are seeking a motivated and detail-oriented Freelance Event Support Specialist to join our team on a part-time basis to manage Registration and Internal Communications for a large event happening in 2025. This role focuses on supporting our client on employee registration, internal communications and assisting with other essential tasks related to employee experience for the week of the event. This can be a remote position, offering flexibility and the opportunity to work with a dynamic team of professionals.
Key Responsibilities
Event Registration Management:
- Create, manage, and monitor event registration platforms using RSVPify.
- Troubleshoot attendee registration issues and provide timely support.
- Maintain accurate and up-to-date attendee lists and reports.
Internal Communications:
- Coordinate and streamline communications with clients and team members via Slack and email.
- Prepare and distribute internal updates, meeting notes, and event timelines.
- Website Design and Management (Preferred):
- Assist in the design and maintenance of event-specific websites and microsites.
- Update website content as needed, ensuring accuracy and consistency.
General Event Support:
- Collaborate with the team to coordinate event logistics, including schedules, vendor management, and budgets.
- Support virtual, hybrid, and in-person events by managing technical platforms, attendee communications, and on-site coordination as needed.
- Research and source venues, vendors, and technology solutions.
Administrative Support:
- Prepare reports, presentations, and post-event summaries.
- Organize and maintain event documentation and files.
- Assist with invoicing and expense tracking related to events.
Qualifications:
- Proficiency in RSVPify and Slack are required
- Familiarity with website design and content management systems (e.g., WordPress, Wix) is a plus.
- Exceptional organizational and multitasking skills.
- Strong written and verbal communication abilities.
- Experience working in corporate event planning or a similar role is preferred.
- Ability to work independently and meet deadlines in a remote environment.
- Tech-savvy with a willingness to learn new tools and platforms.
Additional Information
