JOB DESCRIPTION:
Primary Purpose:
Under the direction of the Director of Community Relations, the Administrative Assistant will assist in the development and execution of messages representing the interests of the Lamar Consolidated Independent School District, its stakeholder community and related entities; Promote positive public relations between the school district and community; Prepare and provide information for both internal and external audiences regarding various activities, goals and policies of the district.
In addition, the Administrative Assistant will be responsible for organizing and managing the routine work activities of an administrative department office and provide clerical services to the department head and other staff members.
RESPONSIBILITIES:
Major Responsibilities and Duties
- Assist with the coordination, promotion, and documentation of special events, conferences and programs helping to publicize and promote any performances, exhibitions or displays.
- Maintain effective communication channels between the district, schools, parents, and community stakeholders. Disseminate relevant information, resources, and opportunities to parents and parent groups.
- Use effective communication skills to present information accurately and clearly.
- Monitor and preserve graphic standards, style and communication protocols.
- Demonstrate awareness of district-community needs and initiate activities to meet those needs.
- Model high standards of professional integrity and maintain confidentiality of privileged information.
- Assist with district media coverage.
- Organize and manage the routine work activities in the assigned administrative department.
- Perform typing/computer tasks in the preparation of correspondence, forms, reports, etc. for the administrator and other department staff members.
- Receive, sort and distribute mail and other documents to department staff members.
- Obtain, gather and organize pertinent data as needed and put into usable form and forward to committees, community agencies, individuals, appropriate staff and administration.
- Maintain a regular filing system, as well as a set of secure confidential files, and process incoming and outgoing correspondence as instructed.
- Maintain a schedule of appointments and make arrangements for conferences, meetings and travel arrangements for administrators.
- Maintain financial records for the Office of Community Relations.
- Assist with the preparation of purchase orders and payment authorizations.
- Keep accurate inventory of department items and supplies.
- Place and receive all incoming calls, take reliable messages and route to appropriate staff.
- Welcome and assist visitors.
- Work cooperatively with other personnel in the district.
- Other duties as assigned by the supervisor or designee.
EXPERIENCE:
QUALIFICATIONS:
Minimum Education/Certification:
- High school diploma or G.E.D.
- 30 credited college hours or five years of experience as an administrative assistant or similar office experience preferred
Special Knowledge/Skills:
- Strong organizational, communication, and interpersonal skills
- Demonstrated skills in writing and editing/proofreading
- Understanding of Communications, Public Relations and Education industries
- Ability to implement policy and procedures
- Ability to interpret data
- Proficiency in typing, word processing and file maintenance
- Expertise in basic office procedures and the operation of common office equipment and machines
- Ability to greet the public in person and by telephone
- Ability to meet established deadlines while working multiple projects
- Ability to conform to shifting priorities, demands and timelines
- Ability to work under tight deadlines and excel in a fast-paced environment
- Outstanding attention to detail and extremely organized
