JOB DESCRIPTION:
PRIMARY PURPOSE:
To assist and relieve supervisor of clerical work so that maximum attention may be devoted to educational administration.
RESPONSIBILITIES:
MAJOR RESPONSIBILITIES AND DUTIES:
- Act as receptionist for the principal or supervisor, and is hospitable to patrons and visitors in the office or on the phone.
- Receive all incoming calls, take reliable messages, and route to appropriate staff.
- Assist students, teachers, and parents as needed.
- Promote good public relations.
- Register and withdraw students.
- Maintain accurate attendance records on computer.
- Maintain teacher and staff Absent from Duty reports and send to the Payroll Department.
- Maintain substitute teacher sign-in sheet and send to the Payroll Department.
- Process correspondence as instructed.
- Duplicate printed materials as needed.
- Maintain filing system.
- Other duties as assigned by the supervisor or designee.
EXPERIENCE:
QUALIFICATIONS:
Minimum Education/Certification/Minimum Experience:
- High school diploma or G.E.D.
- 15 credited college hours OR three years experience as a secretary or similar office experience preferred
Special Knowledge/Skills:
- Ability to understand and follow oral or written instructions and to maintain records
- Proficiency in typing and word processing
- Ability to greet the public both in person and by telephone
- Working knowledge of basic office procedures and the operation of common office equipment and machines
- Superior communication and organizational skills
OTHER INFORMATION:
EQUIPMENT USED: Uses computer (data entry and word processing), printer, calculator, copy machine, typewriter. WORKING CONDITIONS: Physical Demands: Moderate lifting (15-44 pounds), Moderate carrying (15-44 pounds), Reaching above shoulders, Use of fingers, Walking, Standing, Climbing (intermittent), Repeated bending (intermittent), Specific visual requirement (using computer, bookkeeping), Specific hearing requirement (oral and phone conversations). Environmental Factors: Works around machinery with moving parts.
