What are the responsibilities and job description for the Residency Planning Assistant - Full Time position at Landis Homes?
Serves as the initial contact person for prospective residents and their families, manages prospect database. Provides administrative support and back-up for the Director of Residency Planning, Residency Planning Counselor and Residency Planning Coordinator.
- Provides administrative support for Residency Planning by responding to inquiries and entering information into prospect database (Aline) then forwarding lead to Director of Residency Planning or Residency Planning Counselor.
- Answer incoming calls, have the knowledge to determine the purpose of the calls and then direct the calls to the appropriate person or department including calls for other areas like Steeple View Lofts, Landis Place on King and Director of Admission for Landis Homes.
- Sends out confirmation e-mail for online inquiries and mails brochures electronically or in the standard mail.
- Scans applications and enters information in Aline. Does Megans Law check for all applicants. Calls or e-mails applicants to communicate approval if Director and Counselor are not available.
- Learns the responsibilities of the Residency Planning Counselor and Coordinator to help with covering while members of the Residency Team are unavailable including sales, option selections, inspections and move coordination.
- Assists in taking future residents into their new home to measure or show family if Residency Planning Coordinator isn’t available.
- Occasionally covers the Crossings front desk when the receptionist is on a lunch break.
- Coordinates with volunteers the assembling of the information packets and new resident packets. Works with the Residency Planning team to maintain a list of resident volunteers who will show their homes. Calls resident volunteers to set up showings.
- Sends complimentary meal cards with a thank you card to resident volunteers who have shown their home three times.
- Maintains a list of marketing materials, takes a monthly inventory and coordinates with the Director of Residency Planning and Communications regarding ordering more materials
- Records information that is received from the annual update for the General Waiting list. Contacts people on the General list who have not responded.
- Verify that depositor and applicant lists are accurate in database.
- Creates files for all incoming residents
- Enters new resident information into Point Click Care including scanning and data entry.
- After resident has moved in, sends new resident files to Executive Assistant to the President of Landis Homes.
- Generates Residency Agreements for Director of Residency Planning and Residency Planning Counselor.
- Sends deposits to Finance when needed.
- Assists with preparation for marketing events and helps during the day of the event.
