Probation Clerk

A well-established company in Milton, FL, needs a Probation Clerk to join their team. The Probation Clerk will provide administrative and clerical support to the Probation Department.

Job Responsibilities :

  • Greets public in person or by telephone; provides information about programs, functions and procedures; screens calls and transfers callers to other employees.
  • Schedules appointments for clients and assists with filling out forms.
  • Checks in and assigns clients to appropriate officer / program; provides an overview of probation and pre-trial diversion; answers questions.
  • Prepares correspondence, informational material and documents.
  • Prepares purchasing documents and facilitates purchasing procedures for the department.
  • Receipts monies using appropriate programs for credit cards, cash and electronic funds transfers.
  • Sets up and maintains department files; sorts and files correspondence, reports, vouchers, or other materials by alphabet, number, or other established system.
  • Scans and converts files to digital copies.
  • Maintains office supplies and inventory.
  • Performs research and retrieves records and data.
  • Acts in a confidential capacity in administrative support tasks.
  • Interacts with the public in an effective and courteous manner.
  • Must demonstrate commitment to our mission, vision, values and goals and represent the County in a professional, dignified manner at all times both in actions and appearance.
  • May have a role in the County’s disaster preparation and / or disaster recovery efforts, as designated in the County Comprehensive Emergency Management Plan; may be required to work before, during and / or after an emergency.
  • Must be able to meet minimum attendance standards.
  • Performs related duties as required.

Qualifications :

  • A four-year high school diploma or its educational equivalent; supplemented by six (6) months of administrative or clerical experience; or an equivalent combination of education, training and experience that provides the required knowledge, skills and abilities.
  • Must be computer literate.
  • Experience with Microsoft Word is required.
  • Experience with Microsoft Excel and Adobe is preferred.
  • Requires a minimum typing speed of 30 cwpm.
  • Experience with Smartbench and E-Portal is preferred.
  • Required to pass additional background screening and / or fingerprinting for access to FCIC / NCIC and other secured programs.
  • Knowledge of principles and practices of probation, pre-trial and community service programs; business English, spelling, arithmetic and office practices and procedures; database software; internet, spreadsheet, word processing and presentation software.
  • Required to operate a personal computer, calculator, copy machines, scanners, shredders, postage meter digital camera and word processing, spreadsheet and / or database programs; creative writing, public speaking, business writing; proofreading and editing.
  • Required to understand and follow oral and written instructions; read and comprehend moderately complex instructions, short correspondence, and memos; write correspondence; make arithmetic computations and tabulations accurately and with reasonable speed; express ideas effectively both orally and in writing; effectively represent the County and the department in answering questions, responding to inquiries, providing assistance, and dealing with concerns from the public, community organizations, other County staff and other agencies.
  • Required to work with clients who may become hostile or have mental impairments.
  • Required to work with clients regardless of ethnicity, cultural background and criminal charges.
  • Requires a valid driver's license at the date of hire and maintains said license while employed in this position.
  • Requires drug and breath testing certification within one (1) month of employment.
  • The physical requirements are that of light work and include exerting up to 20 pounds of force occasionally, and / or up to 10 pounds of force frequently and / or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body.
  • The work requires some physical exertion, such as walking, standing, stooping and crouching occasionally.
  • Requires repetitive motion of the wrists, hands and / or fingers.
  • Requires fingering to include picking, pinching, typing or otherwise working primarily with fingers rather than with the whole hand as in handling.
  • Close visual acuity is required to perform an activity such as preparing and analyzing data and figures.
  • Transcribing; viewing a computer terminal; extensive reading; visual inspection involving small defects, small parts, and / or operation of machines (including inspection); using measurement devices; and / or assembly or fabrication parts at distances close to the eyes.
  • Requires the expression or exchange of ideas by means of the spoken word.
  • Those activities in which they must convey detailed or important spoken instructions to others accurately, loudly or quickly.
  • Requires perceiving the nature of sounds at normal speaking levels with or without correction.
  • Ability to receive detailed information through oral communication and to make the discriminations sound.
  • Compensation & Benefits :

  • For this position, you will be paid $17.84 / hour
